About the Role We are seeking a versatile and detail-oriented Projects & Operations Officer to support Manipulate Arts’ co-ordination across all creative projects while providing administrative and operational excellence. Ideal candidates will demonstrate:

  • An aptitude for designing and maintaining efficient systems
  • A warm, empathetic communication style
  • A deep passion for the arts with enthusiasm for artist and stakeholder engagement
  • Strong administrative and financial acumen
  • Confidence in navigating small to medium-sized arts organisations

The ideal holder will grasp deletion workflows across Manipulate Arts’ portfolio, foster cross-departmental relationships, and continuously improve internal processes—making this a strategic operational growth opportunity.


Key Responsibilities

  • Enquiries & Liaison: Frontline point of contact for new stakeholders, artists, and creative collaborators.
  • Project Co-ordination: Assist across the full manipulate festival and tailored commissions, ensuring timely delivery and stakeholder meetings.
  • Systems Champion: Expedite digital and paper-based administration; streamline databases logistical workflows.
  • Operational Support: Collaborate on venue bookings, partnerships, and long-term admin tasks, always pursuing efficiency and clarity.
  • Financial Oversight: Maintain accurate budget tracking, expense reconciliation, and reporting for freelance teams.
  • Arts Distribution: Apply subject-matter expertise to uphold the creative integrity of projects while ensuring piecemeal logistics run without hitch.
  • Feedback Culture: Fleece incremental improvements with a solutions-oriented mindset with colleagues.

Person Specification

Essential

  • A strong organisational sense with the ability to operate effectively in freelance-heavy environments.
  • Ability to juggle multipartite deadlines and maintain tight precision in financial records.
  • Desire and mission fit with Manipulate Arts’ avant-garde practises—given the organisation’s response to display across the year.
  • Fluency with arts sector conventions and communications styles.

Bonus

  • Prior experience in arts administration, production, or project management (theatre/performance or visual projects).
  • Creative collaborations in community engagement or fundraising.
  • IT literacy including emailing, CRM tools [e.g. Mailchimp], and budget spreadsheets.

Terms & Conditions

  • Closing Date: 11 August (12 Noon)
  • Hours:
    • Full-time: 1708 hrs/year, arrangements as 20 weeks @35 hrs, 32 weeks @31.5 hrs.
  • Contract: Maternity Cover from 12 October 2026
  • Workplace:
    • Hybrid model, minimum 2 days weekly on premises at Summerhall, 1 Summerhall, Edinburgh EH9 1PL
    • Occasional Scottish travel to support projects.
  • Salary: £30k pa
  • Pension: 8% total (4% employer + 4% employee contribution).
  • Leave:
    • 25 days per annum (pro-rated if applicable) + statutory bank holidays.
  • Line Manager: Executive Producer, with freelance creative overseers reporting to you on minor ad-hoc tasks.
