Property Admin Assistant – Glasgow Branch (Wilsons Auctions)
Wilsons Auctions Glasgow Branch is looking for a reliable and detail-oriented Property Admin Assistant to support our Land & Property UK Team.
About the Role
This role involves:
- Responding to property enquiries via phone and email
- aml reporting (with full training provided)
- Communicating with buyers and vendors regarding property sales and client updates
- Inspecting properties, ensuring accurate reporting, and facilitating viewings
- Supporting the auction process and maintaining security for listed properties
The ideal candidate will:
- Be proactive, professional, and capable of working independently
- Travel acrossScotland to conduct inspections and viewings
A valid UK driving licence is required. Onsite pool cars are available for use.

Key Responsibilities
- Manage Enquiries & correspondence
- Respond to property inquiries via phone (Land & Property line), email, Rightmove, and Zoopla
- Anti-Money Laundering (AML) Compliance
- Arrange and maintain AML risk assessments for vendors and buyers
- Ensure biometric ID checks (CREDAS system) are complete and up to date
- (Full training provided)
- Property inspections & viewings
- Conduct property visits to record internal dimensions and collect marketing-quality photographs
- Verify boundary accuracy
- Collect/present keys for valuations, auction pre-inspections, and agent logistics
- Organise open viewings and provide front-line customer service
- Maintenance & security
- Perform weekly property inspections in line with Service Level Agreements (SLAs)
- Ensure properties remain secure before auction sales

Requirements
- IT proficiency (Microsoft Word, Excel) and a willingness to learn systems like Wilsons Auctions’ Gavel System
- Willingness to travel across Scotland for property inspections and viewings
- Familiarity with regional property nuances (specifically in Scotland)
- Experience in handling sensitive or contentious situations with professionalism
- Clear and polite communication style, with an understanding of auction sale processes
- A clean, valid UK driving licence is mandatory
Working Hours
Monday–Friday, 8:30 AM – 5:00 PM
