  • Reports To: Senior Property Manager
  • Hours: 37.5 per week

About the Role

The aim of the Edinburgh Lettings Team is to provide an exceptional customer experience for both potential and existing customers. In this role, you’ll work closely with colleagues to ensure the team delivers a best-in-class service, supporting Rettie in achieving a market-leading position.

As the Portfolio Administrator, you will:

  • Provide administrative support to two Portfolio Managers
  • Contribute to improving asset performance by delivering outstanding client experiences
  • Assist the Associate Director of Lettings with general administrative tasks to enhance departmental efficiency

You’ll collaborate with your team to build strong client relationships while ensuring a consistently exceptional service.

Managing Administration

  • Support Portfolio Managers with lettings and property management administration
  • Serve as the first point of contact for incoming calls and enquiries
  • Schedule and oversee viewing appointments, including overflow bookings
  • Manage keys and access authorisations with diligence
  • Conduct tenancy referencing and due diligence with attention to detail
  • Prepare and serve initial tenancy documentation accurately
  • Oversee all safety testing compliance meticulously
  • Process financial transactions:
    • Handle deposit and rental collections in collaboration with the accounts team
    • Process contract enquiries efficiently and ensure smooth contractor payments
    • Manage HMO licensing applications and renewals
  • Generate check-in and check-out reports
  • Manage utility notifications and process void period costs with accuracy

  • Adhere to all company policies and procedures
  • Embrace a proactive learning approach to continuous improvement
  • Reflect and promote Rettie brand values through professional conduct
  • Attend mandatory training sessions

Key Requirements

  • Driving licence
  • Proficiency in:
    • MS Word, Excel & Outlook
    • General IT systems
  • Experience in a customer service role
  • Strong ability in administrative tasks
