Property Administrator
We are looking for a Property Administrator who will be responsible for supporting the day-to-day operations of leasehold block management, with a focus on administrative efficiency, leaseholder liaison, and compliance. The role covers a wide range of functions including document management, Section 20 process administration, accounting support, legal documentation, and basic property management tasks. This position is key to ensuring that all leaseholder interactions and building matters are handled professionally and in a timely manner.
Responsibilities
Block Administration:
- Perform all necessary back-office administrative duties
- Maintain document management systems to ensure easy retrieval and compliance
- Manage the shared Client inbox, ensuring timely responses and task allocation
- Manage the management pack process for PM sign off
Section 20 Administration:
- Issue Section 20 notices in accordance with statutory requirements
- Track and record the progression of each Section 20 through its respective stages
- Support Property Managers in ensuring deadlines and legal standards are met
Accounting Support:
- Raise ad hoc and other relevant demands as instructed
- Prepare budget templates for PM to complete
- Collate and distribute budget pack information to support annual budget preparation
Gardens/Fob Management:
- Take full ownership of fob management, including issuance, programming, and record-keeping

- Coordinate access to flats for inspections, works, and contractor visits
- Handle low-level leaseholder and resident queries in a professional manner
- Draft and issue case notes to support Property Managers with ongoing matters
- Keep MONDAY boards updated
- Support the Head of Residential with diary management
Requirements
- Previous experience in block or property management administration (essential)
- Strong organisational and document management skills
- Familiarity with Section 20 procedures and service charge administration
- Proficiency in Microsoft Office and property management software
- Excellent written and verbal communication skills
- Ability to multitask and prioritise effectively
- Attention to detail and ability to meet deadlines
