Role Purpose
To deliver support to the estate management team for all functions.
Key Responsibilities And Accountabilities
- Provide an effective and efficient professional support service to all homeowners living in developments where an estate or block service charge is paid. Ensure that those services are in line with all legal, contractual, regulatory requirements and good and/or best practice intervening where necessary.
- Ensure that homeowners are safe in their homes by monitoring performance of managing agents in sourcing key health & safety and fire prevention measures data recommending intervention where necessary.
- Maintain and develop relationships with managing agents delivering services to heylo homeowners, ensuring services are being delivered to a high standard and represent value for money. Maintain a register and grading system to assess performance of managing agents.
- Review all matters relating to estate and service charges raised by third party managing agents for onward collection from homeowners. Provide robust assessment, inspection and challenge to all budgets and final accounts issued to heylo for payment and onward collection. Monitor and check expenditure to ensure that charges are fair, reasonable, correctly incurred and demanded in a timely manner as required under legislation.
- Assist in the void property onboarding process ensuring all properties are inspected, snagging issues resolved and made safe and secure including isolating gas supplies. Ensure all void holding invoices have been issued in the right name and address, recorded in the correct manner and paid punctually.
- Assist in preparing all contractual lease responsibilities under the AHP shared ownership lease in respect of issuing microstaircasing notices as well as annual statements of repair funding.
- Assist in the preparation of annual rent, service charge, lease administration fee and buildings insurance charges reviews in a timely manner each year.
- Assist in the management of the buildings insurance policy for heylo homeowners liaising with brokers, loss adjustors, etc as required. Manage the Hometree contract for insurance backed repairs under the AHP lease requirements.
- Assist in ensuring that health & safety trackers and other records are updated in real time.
- Provide office management support.

Requirements
Person Specification Capabilities And Experience
- Passes in GCSE English & Maths at grade 4 or above or equivalent or ability to operate at that level. (E)
- 2 years’ experience of working in a residential property environment. (E)
- Demonstrable understanding of residential leases including shared ownership. (D)
- Knowledge and/or experience of leasehold/shared ownership and homeowners property service charge regimes. (D)
- Working knowledge of the requirements relating to fire safety and health & safety within residential property management. (D)
- Associate level member of the IRPM or similar willingness to achieve this Member standard of membership. (D)
- Effective communications and presentation skills, both oral and written. (E)
- Effective IT skills including property management MIS, MS Office & Zoho Desk. (E)
- Good influencing and persuading skills (D)
- Good verbal and numerical reasoning skills. (E)
- Ability to deal with conflicting priorities. (E)
- Ability to work to deadlines and under pressure (E)

Other Information
Salary And Benefits
- Salary: £25,000 - £28,000
- Hours of work: Full-time 39 hours per week with the ability to work up to 60 days a year home working. In this role, we expect there to be a degree of travel and flexibility, with some evening and weekend working as necessary.
- Holiday: 25 days a year plus English Bank Holidays
