Scope of the Role

Support the smooth running of Mulberry’s London office location, managing a variety of administrative tasks, and ensuring that day to day operations are efficient and effective.

Duties & Responsibilities

  • Provide general reception administrative duties including answering calls and meeting and greeting visitors both internal and external.
  • Act as the lead Travel coordinator for the business with support from the Property & Facilities Coordinator (Rookery). Plan and manage business travel and accommodation arrangements for KCS, Retail and Global team members. Collaborating with Finance and external providers (such as Click Travel) to drive continuous process and financial improvements.
  • Support office events, communications, and internal engagement activities, liaising with the relevant stakeholders / project owners.
  • Support with projects including preparation and compilation of presentations if required.
  • Arrange meetings as requested including meeting room bookings and room set up, organizing any refreshments, lunches as required, liaising with the Facilities Manager and external caterers.
  • Monitor and order office supplies
  • Support the Facilities Manager with various administrative, facilities and H&S related tasks
  • Have a good knowledge of the business strategy and contacts to deal efficiently with or refer enquiries (both external and internal) in a discreet and highly professional manner.
  • Provide holiday cover for Property & Facilities Coordinator (Rookery)
  • Collaborate with Somerset counterpart to provide holiday cover for the EA to Executive Committee
  • Support with any relevant ad hoc requests

Skills & Knowledge

  • Ability to communicate (verbally and in writing) with people at all levels maintaining the strictest confidentiality and security of conversations, documentation and files at all times.
  • Experienced Microsoft Office user (Outlook, Excel, PowerPoint).
  • Highly developed organizational skills, attention to detail and ability to multitask.
  • Ability to use initiative and remain calm under pressure.
  • Ability to prioritize and meet deadlines.
  • Ability to offer discretion and confidentiality at all times is essential.
  • Self-motivated, proactive and highly flexible.
