Property Overview
Location: 163 Tower Bridge Road, London SE1 3LW Building Specs:
- Office space: 11,031 sq ft • 6 floors • 3 commercial tenants
- Tenant obligations: Contractually fixed service charges
- Critical challenges:
- All maintenance overruns absorbed by landlord
- Utilities, lifts, cleaning, and statutory maintenance capped under service charges
- Exclusions: call-out repairs, content insurance, ad-hoc costs
Position Overview
We seek a commercially astute Property & Facilities Manager to take sole responsibility for managing a multi-let office building subject to strict service charge budgets, while ensuring exceptional tenant satisfaction. Your key goals:
- Limit annual lease break risks via flawless tenant relationships.
- Aggressively control maintenance expenditure within fixed service charge caps.
- Consistently deliver preventative engineering to minimise reactive costs.
Key Responsibilities
Property Management (PM)
- Contract Lifecycle: Audit, tender, and negotiate all facilities management and fabric contracts for value efficiency.
- Statutory Compliance: Oversee H&S (lifts, fire, legionella, MEP) certifications with strict adherence to UK regulations.
- Budget Integrity:
- Disable budget leakage and contractor markup exploitation.
- Track rent and fixed service charges, review year-end accounts with the Financial Directory.
- Clear historical maintenance backlogs.
- Financial Safeguarding: Marginalise unnecessary ad-hoc costs while protecting the landlord’s ‘bottom line’.

Facilities Management (FM)
- Planned Preventative Maintenance (PPM):
- Design a cost-disciplined schedule to minimise reactive repairs.
- Enforce rigid caps on PPM and failure-cost emergencies.
- Incident Response:
- Serve as single, highly responsive point of contact for crises.
- Remain compliant with 24/7 emergency call-outs delivery.
- Tenant Retention:
- Host quarterly pastoral meetings to pre-empt complaints.
- Escalate issues transparently but decisively.
Candidate Requirements
- Experience: Minimum 5 years managing multi-let commercial offices in the UK.
- Desirable: Direct exposure to service charge caps or fixed budget environments.
- Communication:
- Exceptional verbal and written English.
- Persuasive 'diplomat' between tenants and contractors.
- Technical Skills:
- Deep practical knowledge of:
- Building systems (HVAC, lifts, fire alarm discivenue)
- UK statutory compliance (PCPF, risk assessments, etc.).
- Deep practical knowledge of:
- Mindset: Self-motivated, analytical, and acutely cost-conscious for the landlord.

Rewards
- Base Salary: £25,000/year (20 hours/week).
- Performance Bonus: 10% of savings realised from yearly maintenance spending (vs prior year), subject to tenant satisfaction KPIs being met.
