Property Inspections Team Coordinator – Hybrid Role
About the Role We’re seeking a ** Property Inspections Team Coordinator** to provide essential support to our property inspections team in a hybrid role. Working between our Head Office in Springfield, Chelmsford, and home, this will be a dynamic hybrid position after full training.
Key Responsibilities
- Booking property visits and check-out appointments
- Sending reminder emails for tenants moving out
- Adding meter readings, appliances, CO alarms, and smoke alarms to Reapit from inventories
- Rearranging property visits and assisting with tenant communications
- Answering calls when Property Inspection Consultants are unavailable and monitoring group email
- Arranging and submitting deposit releases on DocuSign
- Managing content across third-party CRM systems linked to Condition Reports (Inventories)
- Coordinating Property Inspection Consultants’ diaries and agency bookings to ensure smooth appointment scheduling
- Processing deposit negotiations from tenancy end date to deposit release
- Negotiating between landlords and tenants for end-of-tenancy deposits, including Tenancy Deposit Scheme adjudication where applicable
- Assisting the team leader with day-to-day operational tasks
- Monitoring inbound inventories, ensuring compliance, coordinating with leasing teams, and liaising with branches for appointment arrangements
- Downloading and distributing completed inventories to landlords via email

Requirements
- Current or prior experience in Residential Lettings
- Highly organised, with strong workload prioritisation
- Proactive, ‘can do’ attitude with a hands-on approach
- Excellent communication skills (written and verbal)
- Outgoing, personable, and enthusiastic team player
- Ability to work independently with close attention to detail
- Proficiency in MS Office and quick adaptation to new technology

Salary & Benefits
- Full-time salary range: Up to £27,000 – £28,000 per annum, depending on experience, with bonuses

Hours of Work
5 days per week (8:30 AM – 5:30 PM, no weekends)
After probation, the role transitions to 2 days at home, 3 days at Head Office, Chelmsford.
