Property Maintenance & Compliance Administrator

Reporting to Head of Housing & Property Services
Part-time: 21-24 hours a week (Mon-Fri - flexible)
Salary: £28,000 - £29,000 (FTE)
Location: On-site across Charity properties in Walton & Hersham

Job Purpose

  • To provide comprehensive administrative support for the management of property compliance, servicing, repairs, maintenance, and contractor activities across the Charity's property portfolio
  • Ensure records are maintained accurately, inspections and servicing are scheduled and monitored, and maintenance requests are processed efficiently to support safe, compliant, and well-maintained properties

Key Accountabilities

  • Maintain property compliance records and databases, ensuring all documentation is accurate, up to date, and readily accessible
  • Schedule planned servicing and maintenance with contractors and service providers, arranging access with tenants and residents as required
  • Monitor compliance deadlines and ensure inspections and remedial works are completed within required timescales
  • Maintain compliance trackers and produce regular compliance reports
  • Escalate non-compliance risks and overdue actions to Head of Housing and Property Services
  • Monitor contractor attendance, completion times, and quality of service, attending site if required
  • Ensure completion certificates, invoices, and supporting documentation are received and recorded
  • Utilise the organisation's Fixflo system to manage, monitor, and administer reactive repairs, planned preventative maintenance (PPM), servicing programmes, and compliance activities across the property portfolio
  • Work closely with the housing and maintenance team, to ensure accurate information is shared in a timely manner and all parties are kept informed of progress, actions, and outcomes
  • Liaise with tenants and residents in a polite and respectful manner
  • To uphold the Charity’s values and behave in a professional manner at all times
  • Any other duties as directed by senior staff applicable to the level of the post holder

Essential

  • Effective communication skills, both written and verbal
  • Ability to work independently and as part of a team
  • Strong problem-solving and coordination skills
  • Full UK driving license
  • Proficient in using Microsoft office

Desirable

  • Experience within the property sector
  • Knowledge of property compliance requirements
