The Property Management Administrator Role
We are looking for a Property Management Administrator to support the team with the day-to-day administration of the portfolio. This is a varied role offering excellent exposure to all aspects of property management, while also providing the opportunity to contribute to the implementation of new technology and AI solutions that enhance the department's efficiency.
You will support the Property Management team with the key administration that keeps the department compliant, organised, and moving.
You will work closely with Property Managers, Team Leaders, Tenancy Progression, Accounts, Contractors, Landlords, and external suppliers. You will also be trained on systems including Reapit, TDS, Goodlord, Yuno, Flatfair, Reposit, Notify, Fixflo, TouchRight, TAPI, Prospector Pro, and SalesRook.
Once the core role is understood, there will also be opportunities to support process improvements, automation, and AI projects within the department.

Key Responsibilities Of The Administrator
- Monitoring compliance records, including Gas Safety Certificates, EPCs, EICRs, and rent protection
- Registering and unregistering deposits through TDS Insured and TDS Custodial
- Supporting rent protection administration through Goodlord
- Checking Flatfair and Reposit records
- Booking inventories, cleans, check-ins, and check-outs
- Reviewing pre-tenancy tasks
- Maintaining contractor compliance records
- Processing contractor invoices
- Reviewing contractor statements monthly
- Updating KPIs, tenancy lists, and scheduled reports
- Identifying properties that may need HMO review and escalating them to a Team Leader
- Keeping Reapit notes, trackers, and records accurate

Is this you?
We are looking for someone who notices the small things, takes ownership, communicates clearly, enjoys structure, works well from checklists, can chase people professionally, and stays calm when things are urgent.
You do not need years of property experience, you do need the right attitude!
- Strong organisation and attention to detail
- Good written and verbal communication
- Confident using Outlook, Word, and Excel
- Comfortable checking figures and working with trackers
- Able to manage multiple tasks and deadlines
- Minimum GCSE grade C / 4 or above in Maths and English
- At least one year of customer-facing, office-based, or administrative experience preferred
