Property Management Assistant
Location: Westminster Salary: £28,000 - £32,000 per annum (depending on experience) Working Hours: Monday to Friday
Our client is part of a private family office with extensive experience in investment and asset management within the UK property sector. Known for their long-term strategic approach, they seek a Property Management Assistant to join their team.
Ideally, you will have experience in a residential property management or lettings team, though transferable skills and a strong attitude can also be successful. This role requires excellent customer service and communication skills to uphold their high standards in property management.
Key Responsibilities
- Assist Asset Managers with the administration of the property portfolio
- Draft new tenancy agreements and renewal agreements in the administrator’s absence
- Conduct 6-month routine property visits for London and Greater London properties
- Organise Energy Performance Certificates (EPCs), electrical checks, gas certificates, and annual boiler servicing
- Manage applications for new residential addresses
- Collect ad hoc meter readings when required
- Maintain and update the online parking management system (iPermit)
- Assist with registration of properties/tenants on the Veterinary Osteopathic Association (VOA) website and track related correspondence
- Register new property addresses
- Conduct bimonthly building visits to collect post and inspect communal areas
- Perform general administrative tasks, including:
- Booking couriers
- Organizing document filing and saving on the shared drive
- Maintaining records such as filing and tenancy schedules
- Produce weekly debt reports
- Apply for new residential bin containers and report collection issues to the council
- Review property licence regulations across boroughs and apply/renew related licences
- Draft rent increase letters on behalf of property managers

Essential Requirements
- Previous experience in a property management assistant or lettings administration role (preferred but not mandatory)
- Strong experience managing/supporting high-end clients
- Outstanding written and verbal communication skills
- Exceptional customer service ethos
- Ability to prioritise workloads effectively and plan ahead
- Strong teamwork mindset
- High attention to detail and accuracy
Compensation Package
- Salary: £28,000 - £32,000 per annum (depending on experience)
- Holiday Entitlement: 23 days increasing to 25 days after two years
- Pension Scheme: Company-matched pension scheme (up to 5%)
