About The Role
The Portfolio Manager position requires oversight and management of a diverse property portfolio, with responsibility for building and maintaining strong relationships with the Client, ensuring tenant obligations are met, and protecting the value of the landlord’s investment.
This role sees you taking a lead role in proactive property management strategies, representing the institution in its relationships with clients while implementing strategic projects. Collaboration with on-site staff like Building Managers and Facility Managers is key to achieving these goals.

- Relationship Building & Client Expectations – Maintaining strong professional relationships with clients, tenants, and colleagues is essential. Proactivity and even going above and beyond are expected.
- Mentorship & Growth – Leading by example includes resolving complex matters, guiding junior team members while encouraging their independence in decision-making.
- Cross-Selling Services – Leveraging connections with Sustainability, Building Surveying (e.g., Tramps, Horizon, Yardi), and Activate (Placemaking) initiatives to promote a full spectrum of professional services.
Duties And Responsibilities
Client & Portfolio Management
- Support the Client Lead in managing the overall client relationship, including monthly fund reporting and quarterly KPI reviews.
- Ensure accurate collection of rents and service charges, aligning with Client KPIs.
- Prepare and administrate service charge expenditure and financial reconciliations.
- Build and maintain strong partnerships with tenants, local authorities, and adjacent property owners.

Operational & Compliance Tasks
- Work with the Insurance Team on property and public liability claims.
- Coordinate with the Facility Management (FM) team to ensure full compliance with regulations.
- Assist clients during due diligence in property acquisitions and disposals.
- Conduct regular property inspections to verify tenant compliance with lease obligations (use, maintenance, etc.).
Legal & Contractual Responsibilities
- Review and understand lease agreements; maintain property management system data.
- Manage complex tenant application processes for assignments, sub-let authorisations, and alterations.
Project Management
- Handle onboarding and offboarding of new property acquisitions and disposals.
- Address any other property management duties assigned by the client or senior management.
What We Expect Of You
- Qualifications & Experience – MRCIS qualification, or equivalent, with practical experience in managing a similar property portfolio.
- Industry Knowledge – Deep understanding of Landlord/Tenant legislation, commercial Real Estate contracts, and legal frameworks.
- Communication Skills – Gravitas in client-facing roles; ability to build trust and confidence.
- Attitude & Work Ethic – Proactive, self-motivated, and passionate with a strong work ethic.
- Technology Proficiency – Skilled in proptech platforms like Tramps, Qube, Yardi, Horizon, and Re-leased.
