Property & Services Administrator
Salary: £24,900 – £28,650 per annum
Location: Cambridge, Hybrid (2 days from home after initial training period)
Contract: Full-time, permanent | 35 hours per week

In partnership with Cambridge University Press & Assessment, a world-leading academic publisher and assessment organisation within the University of Cambridge, you’ll help ensure our operational spaces run smoothly for employees and guests.
About the Role
This role is all about coordination, problem-solving, and operational support. Some days mean clearing routine tasks—booking meetings, managing records. Other days involve resolving complex issues with multiple stakeholders, from chasing contractor updates to re-prioritising tasks when challenges arise.
You’ll collaborate across the organisation and with external vendors to ensure systems, spaces, and services run efficiently. With no two days alike, you’ll quickly develop a nuanced understanding of how different departments and suppliers integrate—often championing projects despite ambiguity.
Key Responsibilities
- Managing the property helpdesk: Responding to high-traffic queries and prioritising requests efficiently
- Overseeing maintenance coordination: Assigning work, tracking progress, and resolving issues among contractors
- Supplier and compliance management: Ensuring documentation, visits, and legal requirements are up to date
- Supporting internal processes: Handling purchase orders, administrative tasks, and financial tracking
- Documenting site activity: Maintaining accurate logs of laundering, maintenance, and logistical planning
- Meeting room and event support: Arranging bookings and assisting with on-site events
- Accommodation coordination: Managing on-site room bookings and maintenance for guest stays
- Continuous improvement: Identifying workflow gaps and contributing process optimisations

Training & Flexibility
- Initial commitment: Full-time on-site presence for the first 24 weeks to complete training and integrate with the team.
- Future flexibility: After training, you’ll transition to 2 hybrid days per week (business permitting).

About You
We’re looking for someone with dailyদaily problem-solving skills in fast-paced environments—especially in admin, helpdesk, or facilities-aware functions.
No prior property management experience is required, but you should thrive in a role that requires:
- Juggling high-query volumes, balancing urgency and order
- Coordination across stakeholders (internally and externally)
- Brief exposure to systems like helpdesks or asset-tracking
- Clean, clear written communication for workflow updates
Ideal Background
✔ Experience in admin or helpdesk roles ✔ A record of prioritising tasks when priorities shift ✔ Comfort managing financial or procurement processes ✔ Experience booking meetings/venues or supporting events ✔ Using structured systems (CRM, helpdesk software, spreadsheets)
Desirable Criteria
The following would strengthen an application—though not compulsory:
- Supplier/contractor liaison experience
- General familiarity with procurement or financial systems
- In-house facility/property management experience
- Skills with digital tools for scheduling or project tracking
