This role is primarily based within Reception, providing a professional front-of-house service while also supporting the Legal Administration Hub with a range of administrative tasks for fee earners.
The DLA Piper Property & Workplace department provides premises and office services including management and maintenance of the firm's property portfolio and business support services including but not restricted to maintenance, storage, archiving, mail services, logistics, catering, vending, reception, switchboard services, security, cleaning, hospitality and meeting room support, refurbishments, projects and relocations, health and safety compliance.
Apprentice eligibility
- You will need GCSEs in Maths and English at Grade C/4 or above
- You need to have the right to work in the UK and have lived in the UK for the last 3 years
Main duties and responsibilities
- Meeting and greeting all clients and visitors to ensure a good first impression of the firm is achieved
- Booking meeting rooms and hospitality requirements via a computerised booking system
- Booking and setting up video conferencing
- Dealing with queries and requests from internal and external clients and visitors at all levels
- Ensure meeting rooms are clean and tidy fully stocked and have the correct IT equipment installed and operational
- Liaising with the catering team to ensure meals and refreshments arrive on time
- Assisting with meeting room furniture set ups
- Setting up audio visual equipment and IT equipment
- Organising taxis for clients and staff
- Booking parking
- Processing flower order requests
- Assisting clients/visitors with enquires relating to directions etc.
- Report upwardly to the reception Team Leader
- Build a good working relationship with all Business Support teams
- Reporting cleaning jobs through the correct channels
- Reporting maintenance jobs through the correct channels
- Filing and e-filing of relevant paperwork and all documents in a timely manner
- Opening of matters in iManage
- Processing invoices and simple expense claims
- Assisting with meeting arrangements including restaurant bookings, in-house room bookings, catering and IT requirements
- Entering client details into contact database (Interaction)
- Organising courier deliveries and collections
- Assisting with team event arrangements
- Other administrative duties as required

About You
- Experience operating in a corporate environment
- Polite, professional and friendly
- Smartly presented
- Excellent communication skills both written and spoken
- Strong interpersonal skills
- Customer service focused
- Enthusiastic with a 'can do' attitude
- Good timekeeping and attendance
- Good numeracy skills
- High standard of literacy
- Proficient in the use of Microsoft office software packages ideally with experience of operating a room booking system and setting up audio visual and IT equipment
- Have the ability to prioritise and multi task
- Demonstrates flexibility, initiative and a willingness to take responsibility
- Able to work as part of a team
- Able to work calmly under pressure
