Overview
Vendome Press is offering a rare opportunity for a highly motivated Publishing Assistant to join a leading illustrated book publisher and gain hands-on experience across the full publishing lifecycle. This role sits at the heart of the business, working closely with senior team members across editorial, production, sales, marketing, and publicity. It offers direct exposure to the creation of internationally distributed, high-quality titles, and is ideally suited to someone looking to build a long-term career in publishing within a collaborative, fast-paced, and creatively driven environment.
The role is ideal for someone looking to gain a comprehensive understanding of the publishing process within a dynamic, detail-driven environment. Interest in illustrated publishing, design, lifestyle and the visual arts is essential.
Key Responsibilities
Editorial & Project Coordination
- Assist in managing the flow of titles across the publishing pipeline
- Coordinate schedules, track milestones, and maintain project timelines across multiple titles
- Assist in occasionally preparing travel itineraries for authors/photographers
- Assist in drafting and preparing sales sheets, sales copy, and contract-related documentation
- Liaise with authors, and contributors, maintaining clear and professional communication
- Take notes in editorial and project meetings and ensure follow-up on key action points

Production Support
- Coordinate with internal teams and external vendors to support production schedules
- Assist in preparing estimates, tracking costs, and issuing purchase orders where required
- Support logistics including couriers, shipping, and stock transfers
- Liaise with distributors, requesting PO’s and assigning ISBN’s across the list
- Maintain organized records of files, assets, and production documentation
Sales & Marketing
- Assist in the preparation of seasonal sales materials, including title grids and presentations
- Support the creation and organization of marketing assets and collateral
- Contribute to the development of sales copy and positioning materials
- Help track sales data, reporting, and internal updates
Publicity
- Support publicity campaigns across print, digital, and social media channels
- Assist in organizing press materials, mailings, and media outreach lists
- Maintain and update press and influencer databases
- Coordinate schedules for events, author appearances, and media opportunities
- Track and compile press coverage and media responses
- Assist with shipments of advance and complimentary copies
Administrative & General Support
- Maintain calendars, schedule meetings, and support general office coordination
- Ensure accurate organization of files, databases, and shared resources
- Assist with interdepartmental communication to ensure smooth workflow across teams
- Provide general administrative support as required

Qualifications & Skills
- Bachelor’s degree or equivalent experience
- Strong organizational skills with exceptional attention to detail and deadlines
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and projects simultaneously in a fast-paced environment
- Professional, discreet, and able to work both independently and collaboratively
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Adobe Creative Cloud). Basic knowledge of InDesign an advantage.
- Strong technical aptitude with the ability to quickly master new systems and workflows
- Strong interest in emerging technologies, including AI; basic knowledge is an advantage, with a willingness to learn, train, and apply new tools effectively within a publishing environment
