About the Role
As part of the Finance function, the Purchase Ledger Finance Assistant is responsible for the timely and accurate processing, validation, and control of supplier costs and invoices. Working closely with suppliers and internal stakeholders, you will ensure costs are processed in line with agreed rates and contractual terms, maintaining data integrity and resolving discrepancies efficiently.
The role plays a key part in supporting financial accuracy, maintaining strong supplier relationships, controlling costs, and ensuring month-end activities are completed in line with business deadlines.
What Success Looks Like
- Supplier invoices are processed accurately and within agreed timescales.
- Supplier statements are regularly reconciled with outstanding items resolved promptly.
- Cost data and supplier pricing are maintained accurately within finance and CRM systems.
- Invoice and pricing discrepancies are identified, investigated, and resolved effectively.
- Month-end deadlines are consistently met.
- Strong working relationships are maintained with suppliers and internal stakeholders.
- Departmental KPIs and service standards are achieved.
Core Responsibilities
- Process supplier invoices accurately and in a timely manner.
- Validate, review, and approve supplier costs against agreed rates and contractual terms.
- Ensure all supplier cost data within CRM and finance systems is complete, accurate, and prepared for billing.
- Reconcile supplier statements and proactively investigate and resolve discrepancies.
- Monitor profit margins and investigate variances, highlighting opportunities for improvement.
- Liaise with suppliers and internal teams to resolve pricing, invoice, and payment queries.
- Manage ad hoc payments, including PayPal and Precision payments, in accordance with business requirements.
- Maintain accurate supplier records and ensure all financial documentation is appropriately recorded.
- Support month-end close processes and ensure all deadlines are achieved.
- Answer inbound calls and respond professionally to supplier and internal stakeholder enquiries.
- Build and maintain positive working relationships with suppliers and colleagues.
- Work towards departmental KPIs and performance targets.
- Remain flexible and adaptable to changing priorities and deadlines.

About You
You are highly organised, detail-oriented, and enjoy working in a fast-paced finance environment. You are comfortable handling large volumes of financial information, investigating discrepancies, and building effective relationships with both suppliers and internal stakeholders.
You take pride in accuracy, have a proactive approach to problem-solving, and can manage competing priorities while maintaining a high standard of work.
Your Expertise
Essential
- Strong numerical and analytical skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Strong problem-solving and investigative skills.
- Effective communication skills, both written and verbal.
- Ability to build positive relationships with suppliers and colleagues.
- Good working knowledge of Microsoft Office applications.
Desirable
- Previous experience working within a Purchase Ledger or Accounts Payable environment
- Experience using CRM and finance systems.
- Intermediate Microsoft Excel skills.
- Experience working within a high-volume transactional finance environment.
