Key Accounts Admin – Job Description
Your Main Responsibilities
Our Key Accounts Admin must ensure excellent administrative support for key account management. Your core duties include:
- Preparing documentation and producing reports for meetings
- Preparing for and attending key account management meetings when required
- Taking and screening calls, enquiries, and requests, while handling them appropriately
- Dealing with incoming emails and frequently corresponding on behalf of management efficiently and professionally
- Keeping clients updated on all contract-related issues and following up on requests
- Responding promptly to client needs, serving as the first point of contact to ensure paramount customer service
- Maintaining company files, assisting with worksheets, schedules, and service-related documents
- Performing general administrative duties—such as typing correspondence, dictation, and record-keeping
- Keeping internal systems up to date while updating customer service portals to meet KPIs & SLAs
- Producing client invoice applications and preparing and sending accurate sales invoices
- Communicating professionally with all external and internal stakeholders
- Logging, processing callouts/maintenance, and liaising with engineers to ensure completion

Key Requirements
- Proven administrative experience in a similar role
- Proficiency in MS Office Systems (Excel, Word & PowerPoint)
- High attention to detail, strong organisational skills, and the ability to multitask
- Exceptional verbal and written communication abilities
- Ability to work under pressure, meet demanding deadlines without compromising accuracy
- Experience dealing directly with internal and external clients
- Strong relationship-building skills—both internally and externally—and a collaborative attitude
- Proactively highly organised, with the ability to work as a team and act independently
- Strong planning, time management skills
- Ability to resolve conflicting demands to ensure good customer service
- Ability to utilise minimal supervision and employ initiative
