QuickBooks Systems Consultant - Freelance Project

Location: Remote
Working Pattern: Flexible, short-term consultancy project

We are looking for an experienced QuickBooks Finance Systems Consultant to support our finance team on a short-term project.

This is an initial piece of work expected to last around 3 to 4 days, focused on reviewing how we are currently using QuickBooks, improving our finance processes, and helping the team make better use of the system.

A key focus will be improving and automating our invoicing process. We currently produce around 50 to 60 invoices per month, and we are looking for someone who can help us move towards a more efficient, structured and automated way of working.

This role would suit someone with strong QuickBooks Online experience who can come in, assess the current setup, advise on best practice, and provide practical hands-on support to improve how the system is being used.

The Opportunity

This is a short-term consultancy project designed to help our finance team improve the way we use QuickBooks.

We are looking for someone who can quickly understand our current processes, identify areas for improvement, and help implement practical solutions. This will include looking at invoicing, automation, reporting, system setup and general best practice.

The initial requirement is short term, but there may be scope for ongoing ad hoc support in the future, particularly as we continue to review our finance systems and potential integrations.

Responsibilities

  • Review our current QuickBooks setup and identify areas for improvement.
  • Assess how we are currently managing invoicing and advise on a more efficient process.
  • Support the setup of improved invoicing workflows and automation within QuickBooks.
  • Advise on finance system best practice and how the team can use QuickBooks more effectively.
  • Provide guidance on reporting, balance sheet confidence and data accuracy.
  • Support the finance team with practical training and knowledge sharing.
  • Recommend improvements to reduce manual administration and improve process efficiency.
  • Provide clear guidance on what should be changed, how it should be implemented, and what the team should continue doing moving forward.
  • Potentially provide future ad hoc support as a go-to QuickBooks expert.

Person Specification

  • Strong QuickBooks Online experience.
  • QuickBooks ProAdvisor certification would be highly desirable.
  • Experience improving finance systems, workflows and processes.
  • Strong understanding of invoice automation and QuickBooks best practice.
  • Able to review an existing setup and confidently advise on improvements.
  • Comfortable supporting finance teams with training and practical guidance.
  • Strong knowledge of accounting processes, including invoicing, reporting and balance sheet accuracy.
  • Experience working with SMEs or growing businesses would be beneficial.
  • Able to communicate clearly and explain technical finance system processes in a practical way.
  • Available for an initial short-term freelance or consultancy project.
