A global legal 500 law firm based in Central London is recruiting for a Legal EA to join the Real Estate Disputes team.

This role is integral to delivering exceptional service to senior stakeholders and clients, supporting fee earners, and ensuring the smooth coordination of client matters.

The role is full-time with hybrid working 2 days per week.

Key Responsibilities

Project Coordination

  • Coordinate and allocate support across client projects
  • Establish efficient processes for new and ongoing client matters
  • Support senior stakeholders with pitches, presentations, and events
  • Identify opportunities to improve processes and enhance service delivery

Client Relationship Management

  • Act as a first point of contact for client communications
  • Maintain accurate and up-to-date client records within CRM systems
  • Coordinate client meetings and respond to queries in a timely manner
  • Support onboarding processes, including terms of business compliance

Communication

  • Manage incoming communications, ensuring prompt and appropriate responses
  • Liaise with internal business support teams on behalf of stakeholders
  • Coordinate coverage during absences and maintain continuity of service

Financial Administration

  • Support time recording and ensure accuracy of entries
  • Assist with billing, invoicing, and expense processing
  • Liaise with finance teams on accounts and credit control matters
  • Produce standard financial and time reports

Administrative Support

  • Manage complex diaries and meeting coordination
  • Organise travel arrangements and logistics
  • Oversee document management, file maintenance, and record keeping
  • Monitor workflow and prioritise tasks to meet deadlines
  • Support junior administrative staff and ensure timely task completion

Additional Responsibilities

  • Provide wider team support during peak periods or absences
  • Assist with document preparation, amendments, and basic drafting
  • Conduct conflict checks and support file opening procedures
  • Maintain accurate data across internal systems
  • Ensure compliance with all relevant regulatory and professional standards

Candidate Profile

  • Proven experience in a Personal Assistant or administrative role within a law firm, ideally within a RE or Litigation team
  • Strong technical skills, including advanced proficiency in Microsoft Office
  • Experience using CRM and/or practice management systems
  • Fast and accurate typing skills (minimum 60 wpm)
  • Excellent organisational skills with the ability to manage competing priorities
  • Strong communication skills, both written and verbal
  • A proactive, solutions-oriented approach
  • High level of attention to detail and accuracy
  • A collaborative team player with strong interpersonal skills
  • Client-focused mindset with a commitment to delivering high-quality service
