Main purpose of the role

This is a 12 m FTC Role with possibility to extend.

The primary purpose of this role is to provide professional front-of-house, workplace, and administrative support to our London office, ensuring the smooth day-to-day operation of the workplace and delivering an exceptional experience for clients, visitors, and employees.

Working as part of the wider Business Support team, you will serve as a key point of contact within the office, helping to maintain a welcoming, efficient, and well-organised environment while providing high-quality administrative support to stakeholders across the business. This is an excellent opportunity for a proactive and highly organised individual looking to develop their career within a fast-paced financial services environment.

Responsibilities

  • Deliver a professional and welcoming reception service, meeting and greeting clients, visitors, and colleagues.
  • Manage meeting room bookings and coordinate room setup, ensuring facilities are prepared and operating effectively ahead of meetings.
  • Oversee visitor management processes and maintain an efficient hot-desking system.
  • Liaise with vendors, suppliers, and building management to support the smooth running of office operations and facilities.
  • Provide administrative support to Front Office teams including travel arrangements, expense management and ad hoc tasks.
  • Partner with the wider Business Support team to ensure the effective delivery of office services and support a variety of business activities and projects.

Qualifications

  • 1– 2 years' experience in a reception, office coordination or administrative support role, ideally within a corporate environment.
  • Strong communication and interpersonal skills, with the ability to engage professionally with stakeholders at all levels.
  • Highly organised, detail-oriented, and able to manage multiple priorities effectively.
  • Proficient in Microsoft Office and experienced in providing administrative support, including meeting coordination, travel arrangements, and expenses.
  • A collaborative team player who builds positive working relationships and contributes to a supportive team environment.
