Reception Team Lead

Reception Team Lead | Administration/Reception/Customer Service

Location: Southampton Contract: Permanent, Part-time | Hours: 30 hrs (rota basis)

At Spire Southampton Hospital, we are seeking a dynamic and experienced Reception Team Lead to join our trusted team and drive excellence in patient care and administration.


About the Role

This Part-time permanent opportunity welcomes a motivated individual who thrives in a fast-paced environment while ensuring exceptional service and strong leadership.


Duties & Responsibilities

Our Reception Team Lead will be responsible for:

  • Working varied shifts in a hands-on capacity, providing support and overseeing the team effectively
  • Promoting Spire’s purpose, vision, mission, values, and behaviours across all interactions
  • Managing:
    • Timecards, sickness, annual leave, and absence to ensure optimal staff coverage
    • Preparation of rotas, flexing staff to meet business demands within budget constraints
  • Setting annual employee engagement (EE) objectives, conducting regular 1:1 meetings, and team briefings
  • Leading recruitment, training, and induction processes
  • Achieving KPI targets set by Spire’s central team
  • Undertaking departmental audits to ensure compliance with:
    • DSE (Display Screen Equipment)
    • Health and safety
    • Staff mandatory training
  • Conducting Datix incident investigations
  • Representing the department in meetings, including Patient Experience, while driving improvements and implementing change
  • Maintaining strong inter-departmental communication and liaison
  • Upholding company policies, including compliance with:
    • Health and Safety at Work Act (manual handling and fire procedures)
    • GDPR confidentiality for patients, consultants, and staff
  • Ensuring a professional, smart reception environment, including adherence to uniform policy
  • Addressing patient complaints through resolution (in first instance) or escalation via proper channels

Requirements

To succeed in this role, you should have:

  • An educated level (Higher Education qualification or equivalent)
  • Strong numeracy, literacy, and IT skills
  • Minimum 2 years of leadership experience in a highly customer-focused environment
  • Proven people management experience within a medium-sized team of 5+ staff
  • Exceptional organisation and communication skills
  • Outstanding customer service capabilities, including the ability to manage difficult, sensitive situations
  • Emotional resilience to hold challenging conversations
  • An ability to manage change effectively and drive customer-centred improvements

This role requires a flexible approach, as work is on a rota shift basis.
