Reception Team Lead

Reception Team Lead (Administration/Reception/Customer Service)

Location: Southampton Contract: Permanent | Part-time (30 hours, rota-based)


About the Role

Spire Southampton Hospital is seeking a Reception Team Lead to join a dynamic team on a part-time, permanent basis. This opportunity offers the chance to make a meaningful impact while working in a supportive, customer-focused environment.


Duties & Responsibilities

(Note: This list is not exhaustive and may evolve to meet business needs)

  • Lead and support the reception team across varied shifts.
  • Promote Spire’s purpose, vision, mission, values, and behaviours.
  • Manage staff absences (including sickness and annual leave) while ensuring full operational cover.
  • Prepare, adjust, and maintain rotas in line with departmental and budgetary requirements.
  • Set and track annual Employee Engagement (EE) objectives for team members.
  • Conduct regular 1:1 meetings and team briefings.
  • Actively participate in recruitment, training, and induction processes.
  • Ensure compliance with KPIs set by Spire Headquarters.
  • Conduct departmental audits, including:
    • Impact on DSE (display screen equipment) compliance.
    • Health and safety protocols, including manual handling and fire procedures.
  • Investigate Datix incidents and take appropriate action.
  • Represent the department in meetings, such as Patient Experience forums, to drive continuous improvement and implement changes.
  • Foster strong inter-departmental communication and collaboration.
  • Adhere to all company hospital policies and procedures.
  • Uphold strict confidentiality in line with GDPR regulations (covering patients, consultants, and staff).
  • Maintain a professional, smart image within the reception space, including enforcing uniform policies.
  • Handle and resolve patient complaints sensitively before escalating as required.

Requirements

Essential Skills & Experience

  • Qualified to Higher Education Level (university degree or equivalent).
  • Strong numeracy, literacy, and IT skills.
  • Minimum 2 years of leadership experience in a highly customer-service focused environment.
  • Proven people management experience in a medium-sized team.
  • Excellent organisation, communication, and customer care skills.
  • Ability to resolve difficult situations and hold challenging conversations.
  • Emotional resilience and change management capabilities.
  • Experience or ability to drive and enhance customer service.
  • Willingness to work shift patterns (rota-based).
