Reception Team Leader

Reception Team Leader

  • Closing date: Sunday 12 July (may close early with strong applications)
  • Location: Riverside Medical Practice, Musselburgh
  • Salary: Circa £31,800
  • Contract: Permanent
  • Hours: 4 days per week (38 hours), 7.30am–6pm (no weekends)
  • Reports to: Assistant Practice Manager
  • Line Management: None (reception team report collectively to the Assistant Practice Manager)

About the Role

We’re seeking an experienced and motivated Reception Team Leader to join our friendly GP Practice. This hands-on leadership position involves coordinating and leading the Reception team, overseeing day-to-day operational efficiency, and working alongside other Reception Team Leaders and Trainers to:

  • Coach, develop, and support a 10-person Reception team
  • Ensure the highest possible patient experience
  • Collaborate closely with clinicians, administrative teams, and Practice management

Key Responsibilities

  • Lead day-to-day operations: Manage busy reception workflows, appointment scheduling, rotas, and team workloads
  • Heading support team: Be the primary point of contact for guidance, problem-solving, and professional support
  • Handle complex scenarios: Support colleagues in challenging situations with empathy and expertise
  • Align with management: Work alongside the wider team to refine service delivery and patient care
  • Train and mentor: Coach team members for continuous development and growth
  • Ensure compliance: Maintain strict adherence to NHS and Practice policies while upholding confidentiality and professionalism
  • Champion patient access: Facilitate seamless care journeys for vulnerable or complex cases

Requirements

Essential Criteria

  • Minimum of two years’ experience in general practice reception or administration
  • Proficiency with Vision clinical system and Docman, plus other affiliated software
  • Proven leadership, training, or coaching skills
  • Strong customer service focus, communication, and interpersonal abilities
  • Ability to remain calm, organised, and resilient in high-pressure environments
  • Valid UK clearance for the specified working hours
