Role: Front of House Receptionist
As a Front of House Receptionist, you will need to demonstrate excellent people skills and oversee the operation of client boardrooms, meeting rooms, seminars, video conferencing facilities, room booking systems, and all associated front-of-house services. You will work closely with your colleagues to ensure clients and visitors enjoy a seamless experience. You should be passionate about delivering a first-class service, meeting deadlines, and handling any challenging client issues professionally.
This role is required 3 days per week Tuesday-Thursday. There is possibility of flexible support required up to 5 days
Key Responsibilities
- Meet and greet clients in a professional and friendly manner, providing excellent customer service and going the extra mile to exceed expectations.
- Be fully aware of and able to manage all reception and security procedures, including meeting room bookings, presentation and video conferencing equipment, visitor management processes, and site security arrangements.
- Liaise with catering, meeting room technicians, maintenance, and IT departments to ensure the smooth provision of services to meeting rooms and client areas.
- Be knowledgeable about all catering options available and advise meeting organisers accordingly.
- Handle printing, copying, and scanning requests from meeting room users and clients, diverting work to the reprographics team where necessary.
- Compile monthly management information for the Office Manager, reporting on client meeting room usage and trends.
- Use Workspace, the current meeting room booking system, to manage calendars and ensure rooms are allocated according to firm requirements. Proactively manage overruns and communicate effectively with affected parties.
- Ensure reception and client meeting rooms are tidy and stocked with the correct items at all times, and that brochures and materials are up to date.
- Support with hospitality for meetings and events by preparing drinks, ordering lunches and clearing rooms afterwards.
- Manage items delivered to reception in accordance with the firm’s SLA, ensuring they are safely passed to the relevant recipient.

Experience and Skills
- Experience working in a customer-facing or front-of-house environment, delivering a professional and first-class service to clients, visitors or customers.
- Strong communication and interpersonal skills, with the ability to build positive relationships and interact professionally with a wide range of stakeholders.
- Excellent organisational skills, with the ability to prioritise competing demands, manage workloads effectively and meet deadlines.
- Strong attention to detail and the ability to maintain accuracy when managing bookings, visitor information and administrative processes.
- Competent IT skills, including experience using Microsoft Office applications and other workplace systems.
- A positive and proactive approach to work, with a willingness to learn new procedures, systems and ways of working.
Desirable
- Experience working in a professional services, legal, corporate or hospitality environment.
- Experience using meeting room booking systems, visitor management systems or video conferencing technology.
- Experience working to Service Level Agreements (SLAs) or Key Performance Indicators (KPIs).
- Experience producing reports or management information.
- Experience coordinating meeting rooms, events, catering or conference facilities.
