Job Description
What is the opportunity?
We are looking for a professional, organised, friendly and proactive individual to become an integral part of our Manchester office. This is a varied role that combines front of house responsibilities with essential office administration. You’ll be the welcoming face of our business, ensuring clients and visitors receive an exceptional experience, while also supporting the smooth day to day running of the office through a range of administrative tasks. You’ll provide reception support and lead our front of house operations whenever our receptionist is away, whilst also playing a key role behind the scenes in supporting our advisers and client support teams. No two days are the same, making this an ideal opportunity for someone who enjoys variety, organisation and working with people.
This is a permanent, full-time position requiring 5 days in our Manchester office working 9.00 am to 5.00 pm.
What will you do?
Reception & Front of House
- Welcoming clients and visitors in a professional and friendly manner.
- Managing incoming telephone calls and directing enquiries efficiently.
- Preparing meeting rooms and ensuring they are presentation ready.
- Greeting visitors and offering refreshments.
- Processing invoices via a purchase order system
- Managing meeting room bookings.
- Arranging office catering for events.
- Supporting the smooth day-to-day running of reception.
- Receiving and distributing incoming post and deliveries.
- Maintaining kitchen, reception and client areas to a high standard.
- Issuing visitor passes and maintaining office security procedures.
Office Administration
- Supporting the annual review process by carrying out administrative data processing.
- Processing Letters of Authority and tracking progress.
- Preparing and issuing standard client correspondence.
- Electronic filing and maintaining accurate client records.
- Processing colleague expenses.
- Ordering stationery and office supplies.
- Assisting with travel, accommodation and parking arrangements.
- Supporting wider office administration projects as required.
What do you need to succeed?
We’re looking for someone who enjoys helping others, takes pride in delivering excellent service and has exceptional organisational skills. You’ll be someone who can confidently switch between welcoming clients one moment and completing administrative tasks the next.

Must-have
- Previous experience in a reception, office administration or customer service role.
- Excellent communication and interpersonal skills.
- Highly organised with excellent attention to detail.
- Confident using Microsoft Office, particularly Outlook, TEAMS, Word and Excel.
- Able to prioritise competing demands and manage your workload effectively.
- Professional in person and telephone manner.
- Comfortable working independently and as part of a team.
- A proactive approach and willingness to get involved wherever needed.
Nice-to-have
- Experience working within professional or financial services.
- Experience using electronic document management systems.
- Knowledge of client administration processes.
- Experience processing confidential documentation.
