Receptionist

Receptionist / Facilities Front of House Administrator

About the Role

We’re looking for a professional, welcoming, and organised individual to join our Facilities Management team in our Stevenage Head Office. You’ll be the first point of contact for employees, visitors, suppliers, contractors, and the public—managing front-of-house operations, ensuring exceptional guest experiences, and supporting the smooth running of our front desk.

Main Responsibilities

Customer & Visitor Facilities

  • Provide a warm, professional, and polished welcome to all visitors—front desk greeting, digital sign-in, and escort services based on security protocols.
  • Ensure seamless interactions with employees, external contractors, and members of the public by representing M Group’s reputation with confidence and clarity.
  • Coordinate introductions to relevant team members, facilitating efficient navigation throughout the building.

Communication & Central Coordination

  • Manage telephone lines, including call handling, scheduling, and voicemail management for both incoming and outgoing calls.
  • Act as the primary point of contact for employees, vendors, and suppliers, ensuring professional and accurate responses.
  • Maintain up-to-date telephone directories and internal contact lists to ensure accessibility and efficiency.

Mail & Delivery Management

  • Receive, sort, and distribute incoming/outgoing mail, including recorded and special deliveries, couriers, and parcels.
  • Ensure secure, timely, and organised handling of all physical packages and recordings.
  • Monitor and refill franking machine levels to guarantee uninterrupted operational workflows.

Resource Allocation & Coordination

  • Book and therefore maintain meeting rooms and workspace allocations using the GoBright system.
  • Support the Facilities Coordinator during periods of peak demand, annual leave, or absence to ensure uninterrupted service continuity.

Requirements & Essentials

  • Proven experience in a reception, administrative, or customer-facing role.
  • Ability to work independently and proactively, managing multiple priorities.
  • Exceptional organisational, multitasking, and attention-to-detail skills.
  • Full proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
  • Confident and comfortable with email and communication platforms such as Outlook and Teams.
  • Tech-savvy and adaptable, willing to learn new systems and processes.
