Front of House Receptionist
We are seeking a Front of House Receptionist to play a key role in creating a professional and welcoming experience for clients, visitors, suppliers, and colleagues at Portman Finance Group.
This role sits at the heart of the business, acting as the first point of contact for all visitors and incoming communications while providing essential administrative support to ensure the smooth day-to-day running of the office.
The successful candidate will be responsible for managing the reception area, handling incoming telephone calls and enquiries, coordinating meeting rooms, and supporting various departments with administrative tasks. They will ensure all visitors receive an excellent first impression of the business while maintaining an organised, efficient, and professional front-of-house environment.

This is more than a traditional reception role. The ideal candidate will be highly organised, proactive, and confident managing multiple priorities while supporting colleagues across the business. They will enjoy interacting with people, solving problems, and ensuring every visitor and customer receives outstanding service.
Working closely with teams across the business, the Receptionist will help support daily operations, coordinate office activities, and contribute to creating a positive and productive working environment.

- Welcome clients, visitors, suppliers, and guests in a friendly and professional manner.
- Manage the main reception area, ensuring it remains organised, and presentable at all times.
- Answer and direct incoming telephone calls promptly and professionally.
- Manage incoming and outgoing post, deliveries, and courier services.
- Coordinate meeting room bookings and prepare rooms for internal and external meetings.
- Offer refreshments to visitors and ensure meeting rooms are prepared before and after use.
- Provide administrative support to various departments as required.
- Support the organisation of company events, meetings, and staff activities and ad hoc training.
- Liaise with suppliers, contractors, and building management regarding office maintenance and facilities.
- Ensure visitor sign-in procedures and security protocols are followed.
- Use Microsoft Office and internal systems to manage administrative tasks efficiently.
- Contribute to maintaining a positive, welcoming, and professional office environment.
Requirements
Skills and Experience Required
- Previous experience in a receptionist, front-of-house or customer service role.
- Well presented, with excellent verbal and written communication skills.
- Professional telephone manner with strong interpersonal skills.
- Strong organisational skills with the ability to manage multiple tasks and priorities.
- Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
- Excellent attention to detail and accuracy.
- Ability to remain calm, professional, and approachable in a busy environment.
- Experience coordinating diaries, meeting rooms, or office facilities would be beneficial.
- Strong customer service skills with a genuine desire to help others.
- Ability to work independently while also supporting colleagues across different departments.
