Job Title: Receptionist
Practice: Bay Vets
Location: Flexible to cover all 4 sites
Hours: Average 37.125 (including 1 in 4 weekend mornings)
Salary: £24,788 per annum
We have an exciting opportunity for a Receptionist to join our friendly team at Bay Vets.
This role is a key customer contact role and is crucial to the success of the practice. It provides the first point of contact for all clients, suppliers, visitors and other people either by telephone or face-to-face, and as such represents the ‘face’ of the organisation and nearly all clients’ first impressions will be made upon those interactions.
Key Skills and responsibilities include (but not limited to):
- Familiarise yourself on a daily/shift basis, of expected clients and the treatments they are receiving.
- Ensure the client waiting area is clean and tidy and remains a pleasant environment.
- Clean, monitor and re-stock consulting rooms daily.
- Greet clients by name if known and use their name during conversations.
- While handling phone calls, acknowledge the arrival of clients in the reception area with eye contact and/or a hand wave.
- Answer the telephone promptly using the agreed practice greeting.
- Use the client system to the benefit of the practice and the services it provides - book appointments, re-checks, surgeries, medical procedures, record client arrivals, take payments and update client/patient details etc.
- Explain any delays to clients promptly and ensure the comfort of clients and patients during their wait.
- Provide directions to the practice to clients or suppliers when required.
- Know the range of services the practice provides and the species it treats.

What We’re Looking For
- Good oral communication skills including conflict resolution. Smart appearance and confident friendly manner.
- Accurate and reliable message taking skills and ability to prioritise
- Good keyboard skills and ability to learn a new software programs (training on PMS will be given)
- Good numerical skills and absolute trustworthiness regarding money handling
- Good organisational skills and attention to detail, absolute confidentiality and awareness of security
- Competent user of Word & Excel
- Ability to work as a team
- Ability to use initiative and prioritise own workload
- Car driver and willing to travel to other surgeries as required
Desirable
- Experience and confidence in basic animal handling
- Experience of working in a similar role in a comparable environment
