We are seeking
We are seeking a professional, organised, and proactive Receptionist & Office Administrator to join our Ballymena Head Office on a Part Time basis; 16 hours across 2 days.
This is a pivotal role within the business, acting as the first point of contact for visitors, clients, suppliers, and employees while ensuring the smooth day-to-day running of the office environment.
The successful candidate will take ownership of front-of-house services, office presentation, facilities coordination, supplier management, and administrative support. This role suits someone who enjoys delivering excellent customer service, takes pride in maintaining high standards, and can confidently manage multiple priorities.
What you’ll be responsible for
- Deliver a professional and welcoming experience for all visitors.
- Manage incoming telephone calls and direct enquiries appropriately.
- Ensure meeting spaces are clean, organised, and fully equipped.
- Arrange catering and refreshments for meetings and events.
- Maintain high standards across reception, meeting rooms, kitchens, and communal areas.
- Report and track maintenance and facilities-related issues.
- Provide general administrative support across the business.
- Assist with invoice checking and reconciliation.
- Support onboarding activities for new employees.
- Maintain accurate records relating to suppliers, office services, and facilities activities.
- Assist with company events, meetings, and business initiatives.

What we are looking for
Essential
- Previous experience in a Receptionist, Front-of-House, Office Administrator, or similar role.
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities.
- Proficient in Microsoft Office applications including Outlook, Word, and Excel.
- Ability to work independently and manage competing priorities.
- Professional, confident, and customer-focused approach.
