Receptionist / Administrator
Location: Stratum Clinic (Oxford)
Contract Type: Permanent – Part Time
Hours: 20 hours per week, working shifts between the hours of 8.00am and 8.00pm covering 5 days per week Monday to Saturday
Salary: £12.85 per hour

As Receptionist / Administrator, you are responsible for supporting the overall Reception function within the Clinic. You will ensure that patients receive a friendly, efficient and professional service. You are a crucial part of the team looking after the day-to-day running of the clinic.
Role Responsibilities
Check in patients, manage appointments (bookings, follow-ups, cancellations), and ensure a smooth patient journey. Answer incoming telephone calls promptly and professionally, directing queries appropriately and providing accurate information to patients, consultants, and internal teams. Post letters, handle documentation, audit trails, and consultant referral/charge sheets accurately. Assist with doctors’ and nurses’ administrative needs and responding to queries. Understand self-funding/insured patient processes, take payments/deposits, process refunds, and liaise with the bookings team. Follow Standard Operating Procedures for all tasks, including internal referrals, patient documentation, and end-of-day responsibilities.

Key Skills / Qualifications Needed For This Role
Experience of working in a high-level customer face to face customer service environment is essential A strong work ethic with a proactive and dependable approach Genuine passion for delivering exceptional patient care and service Able to commute to clinic (driver/walking distance/cycle etc…) – Minimal Public Transport Excellent communication skills, both verbal and written A collaborative team player who contributes positively to the environment Strong organisational skills with attention to detail Comfortable using IT systems and handling administrative tasks A friendly, welcoming manner with a focus on creating a positive patient experience
