We are seeking a professional, well-organised, and customer-focused Receptionist Administrator to join our Office Services team in Manchester. As the first point of contact for visitors and callers, this role is key to upholding our professional image and ensuring a seamless front-of-house experience.
You’ll be responsible for creating a warm and efficient reception environment, managing meeting room bookings, and supporting essential office operations including organising catering requirements and ordering supplies. With a focus on service excellence and smooth day-to-day operations, you’ll play a vital part in helping our Didsbury office run at its best.
Key Responsibilities
Reception:
- Maintain the company's corporate image and ensure smooth day-to-day front of house operations
- Create a professional and welcoming environment for clients as well as employees
- Greet and attend to visitors by escorting them to their designated meeting rooms and offering appropriate refreshments
- Manage the meeting room suite bookings and scheduling
- Answer phone calls on a multiline phone system
- Maintain office security by following safety procedures and controlling access via the reception desk
- Organise the internal refreshment and catering requirements for the meeting room suite
- Ensure the reception area is clean, organised, and well-stocked with necessary supplies.

Administration:
- Provide general office administrative support, including the ordering of catering and office supplies, while ensuring accurate record-keeping of all orders
- Assist the Travel Manager, when required, with coordinating hotel, car, and flight bookings for the Greenergy Group
- Support maintaining a log of building, cleaning and safety issues
- Administration assistance to the Facilities Manager and Head of Executive Support and Office Services with various company projects.
Skills, Knowledge and Expertise
- Previous experience of working front of house in a professional corporate environment
- Proficiency in the Microsoft Office Suite (Word, Excel, Outlook)
- Strong customer service skills with a friendly and professional customer-first approach
- Excellent verbal and written communication skills, with the ability to always represent the company confidently and professionally, with a “can-do” attitude
- Excellent time management skills, ensuring daily tasks are handled efficiently
- Great organisational skills and able to manage multiple tasks while maintaining attention to detail
- Educated to minimum GCSE standard or equivalent
- Team player with a proactive approach.
