Regular Receptionist/Administrator
A successful, modern, and expanding professional services firm based in St Albans is looking for a passionate Receptionist/Administrator to join their close-knit team.
This is a key, front-facing role and the first point of contact for clients, so providing a professional and efficient service internally and externally is essential.
About the Role
This position requires a personable, organised and adept professional to handle core administrative responsibilities with a friendly attitude while maintaining high standards.

Key Responsibilities

Front-of-house support
- Welcome and direct visitors/suppliers effectively
- Manage phone calls and enquiries for clients, partners, and staff
- Maintain the reception area professionally (checking logbooks, stock, hardware, etc.)
- Prepare meeting rooms, set up catering, and arrange guest refreshments

Mail, courier & records management
- Organise incoming and outgoing post
- Arrange and coordinate courier deliveries
- Maintain accurate client records in line with data protection requirements
- Ensure secure document filing and dispatch system improvements

Scanning & digital filing
- Support the shifting digital archiving process
- Scan, redaction (if required), upload, and retain documents/reports securely
- Tag files appropriately according to office conventions

Diary & admin coordination
- Organise and update weeks/months ahead in Outlook calendar
- Schedule meetings, manage agendas, ensure correct invitations are distributed
- Draft and format standard correspondence internally & externally
- Assist with **infractile domain new client onboarding paperwork

Inbox & information management
- Monitor mailboxes (including email and cloud servers) for critical messages
- Maintain the firm’s online technical library (reference materials, guides, etc.)
- Circulate routinely scheduled firm-wide updates/newsletters

HR & team support
- Organise and assist in training sessions/staff tasks
- Coordinate work experience placements and student assistance
- Assist with data cleansing & audits
- Execute and adapt HR & Learning & Development requests where needed

Charity & social involvement
- Act as in-house ‘charity champion’ ( 식 on firm’s designated charitable involvement)
- Help plan and execute company socials and office events

What The Firm Is Looking For
- Requirements:
-
Core experience:
- Minimum 3 years in receptionist/front-of-house roles or
- Delivery of a public-facing customer service role (restaurants, retail, hospitality etc.)

Essential soft skills:
-
Technical set-up:
- Strong knowledge of Microsoft Office (Word, Excel, Outlook, perhapsেম)
- Previous familiarity with switchboards systems is advantageous, but not mandatory

Communication:
- Self-confident & efficient with verbal & written interaction across levels
- Able to adapt tone/style for advice, news, or formal correspondence
- A welcome able to multitask with prioritisation focus
