Clerical Officer Role – IV Suite, Wrexham Maelor Hospital
Job Overview
Are you looking for an interesting clerical role in a niche NHS environment? If so, this position may be perfect for you.
We are seeking a proactive and organised candidate to join the ** team within the IV Suite at Wrexham Maelor Hospital**. This is a 18.75-hour post, working alongside 2 other team members on a rotating 2-week rota (Monday–Friday, 8:30 AM–4:40 PM).
The Clerical Officer(s) will provide front-of-house clerical support, ensuring a smooth patient journey by:
- Greeting patients and guiding them through accessors
- Arranging and managing outpatient clinic appointments
- Processing clinic outcomes and updating patient records accurately
- Handling receipt and dispatch of patient notes
- Supporting the department to meet all patient needs
Key Requirements
You must demonstrate: ✔ Excellent IT, communication and clerical skills ✔ High organisation and attention to detail ✔ Proactive approach and self-management ✔ Comprehensive Microsoft Office knowledge ✔ Welsh language skills (minimum Level 3)

Main Duties
Patient & Front-of-House Support
- Maintain strict confidentiality at all times
- Provide a friendly, high-standard reception service to patients, visitors, and staff
- Handle calls and enquiries efficiently and courteously
- relay urgent messages and process referrals in line with department standards
Clerical & Administrative Tasks
- Input rolling two-week diary schedules into relevant databases
- Produce and distribute clinic lists, liaising with clinical teams where necessary
- Track and record patient case notes (WPAS & WCP RADIS)
- Maintain medical record accuracy and audit compliance
Department Liaison
- Work closely with nursing and medical teams to support effortless patient flow
- Collaborate with administration teams on scheduling changes

Person Specification
Qualifications
Essential:
- Maths GCSE or equivalent
- English GCSE or equivalent (or recognised equivalent)
Desirable:
- Level 2 in Administration/Customer Service
- WPAS/WCP RADIS experience
Experience
Essential:
- Previous clerical, reception, ward duties or front-of-house experience
- Experience working with the public in a fast-paced, pressurised environment
Desirable:
- Background in healthcare administration across hospital settings
Skills and Knowledge
Essential:
- Strong communication & IT skills
- Welsh-speaking (min. Level 3 proficiency)
Desirable:
- Knowledge of medical records systems (WPAS, Case Note Tracking, data security)
