Receptionist

Venue Receptionist – Cardiff, United Kingdom (Permanent, Full-Time)

Our venue Receptionists play a very important role in the team and the daily running of the business, acting as the first and last point of contact for all visitors and staff. This position requires a warm, customer-facing individual who will prioritise claimant wellbeing, manage security, and ensure efficient operation of the venue.

This is a full-time, office-based role (08:00–17:00, Monday to Friday). The role is anticipated to involve:

  • 70% front-of-house greeting and customer service
  • 30% administrative, systems maintenance, facility management, and H&S responsibilities

Your Key Responsibilities

  • Customer Welcome & Engagement

    • Meet and greet claimants, companions, and visitors with a warm, professional, and friendly manner
    • Direct claimants to assessment areas, ensure comfort, and provide clear guidance
    • Answer telephone inquiries; provide directions for public transport (bus routes, train stations, taxis), parking, and local amenities
  • Administrative & Customer Service Duties

    • Manage daily appointments via CRM/PRS systems, including rescheduling and noted updates
    • Maintain data entry accuracy and keep all systems (CRM, H&S portal CAPSER) updated
    • Handle documentation (creating, completing, and uploading to safety compliance systems)
    • Order and track stationery/stocks; ensure office supplies are consistently replenished
  • Venue Security & Operational Management

    • Open and secure the venue, adhering to daily security protocols
    • Door entry validation for all attendees, ensuring only authorised personnel enter
    • Maintain health & safety compliance (acts as a site H&S Champion)
    • Uphold a high standard of professionalism; keep the venue clean, welcoming, and well-organised
  • Emotional Support & Dispute Resolution

    • Liaise with claimants and staff to provide reassurance and direction
    • Apply conflict resolution techniques to de-escalate challenges politely
    • Offer support when claimants may be distressed or confused

What We’re Looking For

Essential

  • Proven experience as a receptionist or customer service professional with a people-focused approach
  • Strong organisational and planning skills (time-bound targets, multitasking, attention to detail)
  • IT proficiency: MS Teams, Outlook, Excel, CRM systems, and Microsoft Word
  • Skills in conflict resolution and de-escalation in a client-facing environment (face-to-face and telephone)
  • Excellent verbal and written communication (ability to adapt tone to delicate or sensitive situations)
  • Customer service mentality – approachable, conciliatory, and driven by service excellence
  • Willingness to independently prioritise tasks and work without close supervision
  • Politeness, attentiveness, and patience with a first-contact role

Desirable (Not Mandatory, but Preferred)

  • Experience in a healthcare or DWP-adjacent role (assessments, disability benefits claims, or support work)
  • Basic understanding of disability or care sectors would be advantageous
