Job Description

Role Overview

Act as the first point of contact for all staff and visitors to our Head Office ensuring exceptional customer service during all interactions. Maintain a welcoming and organised front of house and client areas and provide administrative/clerical support to all staff and clients.

Key Responsibilities

  • Greet, direct and verify the identity of all visitors to the office.
  • Maintain the reception and client areas keeping them tidy, organised and welcoming for staff and visitors.
  • Answer and manage incoming phone calls, taking messages and transferring as required.
  • Provide overflow support to our main switchboard and voicemail service during busy periods or times of absence.
  • Schedule and coordinate meeting room bookings as required.
  • Provide refreshments for visitors as and when needed.
  • Support the Concierge and Security staff in managing clients and visitors whilst on site.
  • Manage incoming mail and deliveries.
  • Support the Facilities department in delivering an efficient service to internal and external clients to include coordinating work with third party suppliers.
  • Assist in raising Purchase Requests via our accounts payable system (SAP Concur) as and when requested.
  • Provide administrative support to the Facilities Helpdesk.
  • Have a basic understanding of Health & Safety at work.
  • Provide new starters to the business with their initial Health & Safety induction, site familiarisation and issue and manage their security access pass.
  • Provide cover and support to Reception colleagues during holidays and break times.
  • Arrange taxis for staff and visitors as needed.

Regulatory Responsibilities ¦ Compliance/T&C

  • Ability to demonstrate an understanding of the regulatory framework relevant to the role, whilst practising effective risk management taking account of outcomes for clients.
  • Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business. Follow principles and rules of the Financial Conduct Authority (FCA) and the internal requirements set out in the Compliance Manual, local and Group Compliance and Risk policies.

About You ¦ Qualifications, Skills, and Strengths

  • Computer Literacy: proficiency in using Word, Excel, Outlook and Office Suites.
  • Ability to work to tight deadlines with consistent accuracy.
  • Excellent attention to detail and presentation.
  • Strong communication and interpersonal skills (verbal and written).
  • Adaptability.
  • Client-focused work as part of a team.
  • Confidence to suggest ways of improving the service currently offered.
  • Proven ability to take the initiative.
