Heart of House (Reception & Agency Host)
Location: Iris London
Contract: Fixed Term (Maternity Cover- 16 months)
Reporting to: Facilities Manager
The Heart of House is a key role to making our guest and employee experience exceptional!
The Role
As the face of Iris London, you'll create outstanding first impressions for every client, visitor, and employee who walks through our doors.
You'll oversee our Reception and Front of House experience, ensuring everything runs smoothly, from welcoming guests and coordinating hospitality to supporting agency events and keeping the office energised and organised.
You'll also help shape the atmosphere of the agency, taking pride in creating a warm, professional, and memorable welcome that reflects the Iris personality.
This role would suit someone who genuinely enjoys people, takes ownership, loves organisation, and enjoys making things happen.
Key Responsibilities
Reception & Guest Experience
- Welcome clients, visitors, and employees with a professional and engaging approach.
- Act as the first point of contact for the agency.
- Manage the Reception inbox and respond to enquiries.
- Coordinate visitor arrivals and meeting schedules.
- Ensure Reception, waiting areas, and meeting spaces remain welcoming and presentation-ready.
- Manage incoming deliveries and general Reception administration.
- Support colleagues with general office coordination.

Agency Communications
- Produce and publish The Daily Boar each afternoon for distribution the following morning.
- Prepare visitor schedules for the next working day.
- Update Reception communications and welcome signage where appropriate.
Office Experience
- Help curate office music playlists that reflect the Iris culture and create a positive atmosphere.
- Look for opportunities to improve the Front of House experience through thoughtful touches and continuous improvement.
- Take pride in ensuring the office always feels welcoming, vibrant, and client-ready.
Daily Rhythm
Morning (from 8:30am)
- Open and prepare Reception.
- Check the Reception inbox.
- Review guest arrivals and meeting schedules.
- Confirm catering and hospitality bookings.
- Prepare Reception and waiting areas.
- Welcome clients, visitors, and employees.
Throughout the Day
- Manage Reception and visitor enquiries.
- Coordinate meeting rooms and hospitality.
- Support agency events and office activities.
- Monitor shared spaces and Front of House presentation.
Afternoon
- Prepare Reception for the following day.
- Create and publish The Daily Boar.
- Prepare guest schedules and hospitality.
- Update office playlists.
- Complete Reception close-down checks.

Skills & Experience
- Previous Reception, Front of House, or Hospitality experience.
- Excellent customer service and communication skills.
- Diary and meeting coordination.
- Strong organisational and time management skills.
- Confident using Microsoft Outlook, Word, PowerPoint, and Excel.
- Excellent attention to detail.
- Reliable, punctual, and dependable.
- Comfortable managing multiple priorities in a busy environment.
Desirable
- Experience within a creative agency, hospitality, or client-facing environment.
- Event coordination experience.
- Experience supporting senior stakeholders or executive visitors.
