Receptionist
Receptionist and Facilities Assistant
Salary: £29,500 per annum, plus company benefits Location: Belfast, BT1 3BG Contract: Full Time, Permanent Shifts: 37.5 hours per week, Monday – Friday, 7.5 hours per day (Shifts start between 7:30am and 10am) with 1 unpaid lunch break Work model: Fully onsite

The ideal candidate delivers exceptional customer service, prioritises detail, and adapts well to the fast-paced nature of front-of-house environments—making it essential to be calm, confident, multitasking, and personable.

Reception Duties
- Greet and assist clients and visitors professionally (including security compliance and health & safety checks).
- Escort clients to meeting rooms, offer refreshments, and manage coats/luggage.
- Maintain visitor logs and badging.
- Check meeting rooms at start of the day and between meetings to ensure they meet high client standards.
- Handle external and internal calls, emails, and messages accurately.
Facilities Support
- Proactive visual maintenance of communal areas, cafeterias, staircases, and printers.
- Liaise with the Finance team to manage purchase orders, invoices, and ordering supplies.
- Assist with public relations, event coordinating, and vendor communications.
Administrative Tasks
- Manage travel and accommodation arrangements for visitors.
- Provide PA support (expenses, invoices, coordination, administrative tasks).
- Carry out data entry, order stationery, and maintain stocks.
- Train reception cover team and propose ongoing training needs.
- Handle first aid, fire safety roles, and knowledge of local transport.
Additional Responsibilities
- Work overtime for weekend premises maintenance and events.
- Ensure compliance with Health & Safety policies.
- Liaise with contractors on helpdesk requests and follow up to resolution.
Requirements
Essential Skills & Experience
- Proven reception/facilities experience.
- Fluent written and spoken British English.
- Proficient in email and Microsoft Office packages.
- Hands-on, proactive, and team-oriented attitude.
- Ability to empathise with clients and improve service delivery.
