Receptionist & Office Coordinator

About the Role

We are looking for a polished, proactive and service-driven Receptionist to join a highly professional corporate environment. This is a front-of-house role where you'll be the first point of contact for clients and visitors, whilst ensuring the smooth day-to-day running of a busy office.

This position would suit someone who thrives in a fast-paced environment, enjoys providing exceptional customer service and can confidently manage multiple priorities with a positive, can-do attitude.

What You'll Be Doing

  • Deliver an exceptional five-star front-of-house experience for all visitors and clients.
  • Welcome guests, manage arrivals and follow office security procedures.
  • Coordinate meeting room bookings and ensure rooms are fully prepared for meetings and events.
  • Liaise with senior Executive Assistants and internal stakeholders to coordinate meetings and visitor requirements.
  • Work closely with hospitality teams to arrange catering, refreshments and meeting room set-up.
  • Support the smooth running of the office, identifying and escalating maintenance or facilities issues where required.
  • Manage office supplies, stationery and equipment orders through external suppliers.
  • Arrange couriers, deliveries and collections using a range of courier providers.
  • Answer and transfer incoming calls via a busy switchboard.
  • Handle incoming and outgoing post, deliveries and general correspondence.
  • Produce, print, bind, label and prepare documents to a high professional standard.
  • Draft letters and maintain accurate records and spreadsheets.
  • Assist with office administration, filing and data management.
  • Support office health & safety procedures, including maintaining relevant records where required.
  • Coordinate transport and logistics for senior stakeholders when needed.
  • Respond to enquiries professionally via telephone, email and in person.
  • Ensure office procedures and administrative processes are followed consistently.

About You

You'll be someone who enjoys being the face of an organisation and takes pride in creating an outstanding first impression.

You'll ideally have:

  • Previous experience in a corporate Reception, Front of House or Workplace Coordinator position.
  • Exceptional communication and interpersonal skills.
  • A naturally positive, professional and approachable manner.
  • Excellent organisational and multitasking abilities.
  • Confidence making decisions and solving problems independently.
  • The ability to remain calm under pressure in a fast-paced environment.
  • Strong attention to detail and a proactive approach.
  • A team-focused attitude with a willingness to support colleagues across the business.

Skills & Experience

  • Strong Microsoft Office skills, including Outlook, Word and Excel.
  • Experience coordinating meetings, visitors and office facilities.
  • Excellent written and verbal communication skills.
  • Professional telephone manner.
  • Experience working within a client-facing corporate environment is highly desirable.

Working Pattern

  • Full-time, Monday to Friday.
  • Standard office hours with flexibility when required.
  • Fully office-based.
  • Salary up to £36,000
