About The Role
We’re looking for a Facilities Assistant to join our friendly and hardworking Facilities team in our Romsey office. This is a key role in keeping the office running smoothly day to day.
The position is part-time (two days per week), with occasional additional hours to provide holiday cover.
Day to day, you can expect your responsibilities to include:
- Managing incoming/outgoing post, checking deliveries, maintaining stock, and keeping records of special/recorded deliveries
- Greeting clients, answering calls, taking payments, handling enquiries, managing meeting room bookings, and coordinating requests (taxis, catering, hot desks)
- Providing meeting room hospitality, setting up equipment, and ensuring rooms are tidy with IT support
- Conducting health and safety checks, arranging fire evacuation tests, and assisting with inductions and workstation assessments for new starters
- Managing contractor visits, ensuring documentation/permits, overseeing housekeeping checks, liaising with cleaning staff, and maintaining access control
- Assisting with printing, desk setups, seating plans, and reconciling stationery/consumables deliveries to invoices
- Acting as contact for printer issues, supporting bulk scanning/copying, and organising external services for specialised tasks
- Assisting with file archiving and monthly cash receipts analysis

Role
Your ability to communicate clearly and collaborate with our fee-earning teams will play a key role in delivering exceptional client service and driving successful outcomes:
- Experience managing reception duties, including answering calls, greeting customers, and handling staff enquiries as the first point of contact.
- High standards of customer and stakeholder service, with excellent communication skills and the ability to engage with people at all levels.
- Highly organised with strong attention to detail, able to multitask and address problems with practical solutions.
- Flexible and supportive, working well within a team while maintaining independence when required.
- Good IT skills, with the ability to manage tasks effectively and maintain strong relationships
