Receptionist - The Wing

Description

No day is ever the same when delivering events in the Silverstone Corporate events team. Your day could consist of an afternoon delivering on track action for our corporate clients, to the next day delivering a multitasking exhibition show for over 3000. The team not only deliver exhibitions, conferences, small meetings but all private track days, car launches and filming events too. We oversee all aspects an event requires from catering, AV, security, cleaning to health and safety and budget management.

As the first point of contact for customers accessing the Wing events space you will provide administrative support by greeting visitors and handling in person and online inquiries. Key duties will include scheduling appointments and meetings, maintaining a tidy reception area, and performing various clerical tasks to ensure smooth office operations. This role requires strong communication, multitasking, and organizational skills.

Key Responsibilities

  • Be the first point of contact for guests on event days.
  • To provide a 5* welcome and client service to the Silverstone Wing Venue.
  • Professionally deal with any enquiries that are presented to the wing reception and provide assistance where needed.
  • To ensure all event areas are kept to agreed standard as required by the Corporate Events Team.
  • To oversee all signage requirements throughout the building for events through digital platforms and printed.
  • To support the coordination and delivery of internal meetings.
  • To support the daily distribution of event booking reports to all internal stakeholders.
  • To oversee the daily management of the reception fire panel.
  • Anticipate the needs of a client and take or recommend action as appropriate.
  • Complete ad hoc tasks and duties to the team as required.
  • Support the team with general admin duties including but not limited to raising POs, signage creation, raising contracts, creating business event orders within our event systems.

Skills, Knowledge and Expertise

  • Minimum of 1 year's experience working in the events / venue industry.
  • Corporate or public events experience gained from a events venue.
  • First class 'host' skills.
  • Operationally minded with a hands-on approach
  • Ability to take ownership and problem solve, is proactive and self-motivated.
  • Works well as a team player and uses own initiative.
  • Passionate about customer care.
  • Knowledge of Delphi diary management system (desirable)
  • Highly organised and has able to prioritise and work to tight deadlines.
  • Advanced MS skills with strong attention to detail.
  • Flexible approach to work which includes some weekends and evenings.
  • Full clean driving license.
