Who We’re Looking For: Are you a highly organised, people-first talent professional thriving in a fast-paced, high-growth environment?

We’re seeking a Talent Coordinator / Recruitment Operations Specialist to be the connective tissue of our hiring process—sourcing, scheduling, onboarding, and operational support. This is a flex-player role demanding adaptability: ensuring recruiter pipeline maintenance, contract handovers, interview logistics, equipment requests, and data accuracy—all with zero errors.

Key Mission: Closely coordinate every step of recruitment and onboarding—from candidate engagement to first-day seamlessness.


Key Responsibilities

Actively contribute to the following:

  • Sourcing Support

    • Build and manage candidate pipelines across diverse roles.
    • Execute searches on LinkedIn and other platforms with precision.
  • Interview Coordination

    • Own interview scheduling end-to-end: liaising with candidates, hiring managers, and panels.
    • Ensure timely, punctual execution in a global, multi-timezone setting.
  • New Hire Onboarding

    • Design and execute structured, detailed onboarding schedules for new hires.
    • Cultivate a positive, informative first-week experience.
  • Contractor Lifecycle Management

    • Oversee onboarding through to compliant offboarding for contractors.
    • Track and resolve issues with administrative rigour.
  • IT & Equipment Management

    • Coordinate hardware/equipment requests for joiners in tandem with IT Teams.
  • Workday Requisition Support

    • Maintain accurate job requisition data—collaborate on Greenhouse, Workday.
    • Ensure ATS and HRIS integrity.
  • Offer Coordination

    • Support final offer paper flow with Talent Partners.
    • Facilitate timely, smooth interactions with candidates.

What You Bring

Experience & Expertise:

  • Minimum 8 years of experience in Talent Coordination/Recruitment Operations.
  • Minimum preference for high-growth, SaaS or tech environments (Dotmatics operates at a dynamic pace).

Essential Skills:

  • Coordination Mastery: Successfully managed multi-zone, multi-stakeholder scheduling in high-volume environments.
  • Recruitment Process Efficiency Toolkit: Deep understanding of end-to-end hiring processes (specifically sourcing, onboarding, ATS systems).
  • Sourcing Savvy: Proficient in LinkedIn Recruiter, candidate engagement tactics.
  • Operational Workflow Fluency: Familiarity with Greenhouse (ATS) preferred; Workday (HRIS) a plus.
  • Contractor Compliance: Hands-on experience managing contractor lifecycles including compliance demands.
  • Attention to Detail: Spotting overlooked issues (pipeline gaps, scheduling glitches, document discrepancies).
  • Proactive Communication: Transparency with **candidates, managers, cross-functional teams».
  • Self-Starter Mindset: Thrives in agile environments—maintaining high organisation under ambiguity.
