We're looking for a Recruitment Admin to join our team! Someone who is highly organized, detail-oriented, and tech-savvy, with a genuine curiosity for new tools and smarter ways of working. You'll keep recruitment processes running smoothly in a high-trust, fast-moving environment, and this is an excellent entry point for someone who wants to build a career in talent and operations.
The £32,000-£38,000 range is based on a UK-based candidate and will be adjusted to reflect the cost of living and market rates for the location of the successful candidate. Note this is a starting salary, with strong upward potential for an individual with a strong drive for professional development.
Key Responsibilities
As a Recruitment Admin reporting to the Head of Recruitment, you will support recruitment operations for both Impact Ops and our clients. Your key responsibilities will include:
- Coordinating interview and work trial scheduling across multiple time zones for candidates, clients, and team members
- Managing candidate communications throughout the hiring process, ensuring every applicant has a positive, timely experience
- Maintaining our applicant tracking system (ATS) and keeping candidate records accurate, organized, and up to date
- Posting job advertisements across relevant job boards, channels, and networks
- Supporting the administration of assessments, work trials, and reference checks
- Preparing recruitment reports and pipeline updates for the team and clients
- Helping implement, test, and improve AI-powered recruitment tools and automated workflows and suggesting new ones worth trying
- Providing general administrative support to the recruitment team, including documentation, process improvements, and ad hoc projects

About you
You'll need to have:
- Strong organizational skills and exceptional attention to detail
- Excellent written communication and a warm, professional manner with candidates and clients
- Comfort juggling multiple processes, deadlines, and stakeholders at once
- Proficiency with productivity tools (e.g., Google Workspace, Slack, AirTable, etc.) and confidence picking up new systems quickly
- Curiosity about technology (including AI tools) and finding ways to work smarter
- 1+ years of experience in an administrative, coordination, or operations role (recruitment experience is a plus, but not required)
You'll also likely have:
- Experience working with diverse teams and coaching junior staff for professional development
- Experience in nonprofit, social impact, or mission-driven recruitment is a plus
- Interest in the unique challenges of recruiting for emerging, specialized cause areas
- Hands-on experience using AI tools or automation tools to streamline everyday work
- A proactive mindset
- Discretion and good judgment when handling confidential candidate information
- Interest in growing into a recruitment or operations career in a mission-driven environment
Benefits & Salary
Your starting salary range is £32,000-£38,000 for a UK-based individual, the salary offered will depend on prior experience and location. There may be flexibility in salary for exceptional candidates with significant experience.
