Location: Upper Heyford, Oxfordshire (Hybrid)

Role Summary:

We are looking for an organised and proactive Recruitment Administrator to join our People team on a part-time fixed-term contract (15 hours per week) to provide maternity cover.

Hours: 15 hours per week. We can be flexible on how these hours are worked across the week, although some availability during normal business hours will be required to coordinate interviews and communicate with candidates.

This role is responsible for supporting the day-to-day administration of our recruitment process, ensuring candidates receive a professional experience while enabling hiring managers to recruit efficiently. Working closely with the Recruitment & Retention Lead and hiring managers across the business, you'll coordinate recruitment activity from advert publication through to offer stage, maintaining accurate records and helping ensure a smooth and efficient hiring process.

The role is expected to last approximately 6–8 months, although the exact duration will depend on the return of the substantive postholder.

Key Responsibilities:

  • Publish approved vacancies on our Applicant Tracking System (Recruitee).
  • Review applications and reject candidates who do not meet the required screening criteria.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Act as the main point of contact for candidates throughout the recruitment process.
  • Issue verbal offers and coordinate agreed start dates.
  • Maintain accurate candidate records and recruitment data within Recruitee.
  • Close vacancies and carry out general maintenance of the Applicant Tracking System.
  • Ensure recruitment administration is completed accurately and in a timely manner.
  • Support the Recruitment & Retention Lead with additional recruitment and people administration as required.

Qualifications and Experience:

Essential

  • Previous administration experience.
  • Experience coordinating interviews or managing busy diaries.
  • Excellent organisational skills with strong attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritise effectively.
  • Professional, approachable and able to maintain confidentiality.
  • Able to work independently and use initiative.

Desirable

  • Previous experience in recruitment, HR or talent acquisition administration.
  • Experience using an Applicant Tracking System (ATS), ideally Recruitee.
