Overview

You will provide administrative support for recruitment activities and manage contractor onboarding and compliance. This role ensures smooth hiring processes, accurate documentation, and adherence to legal and organisational standards for both permanent fixed term contract and contractors.

Responsibilities

Recruitment Admin

  • Post job advertisements on internal and external platforms.
  • Screen applications and forward shortlisted candidates to hiring managers.
  • Schedule interviews and coordinate candidate communications.
  • Maintain accurate candidate records in the Applicant Tracking System (iCIMS).
  • Ensure all roles are closed out when vacancies are filled.
  • Maintain the records associated with the Recruitment Agency Preferred Supplier List.
  • Support the onboarding of new hires including completion of home workstation checks.
  • Send SHL test to candidates.

Contractor Record Management

  • Maintain complete and accurate contractor records.
  • When hiring new contractors ensure that internal processes are followed and that CEST and compliance checks are completed ahead of contractor joining.
  • Track and alert line managers and HRBPs to contractors approaching the end of their contract and ensure timely extensions or offboarding.
  • Ensure compliance with IR35 and other relevant employment regulations both at the point of hiring and at regular intervals.
  • Maintain records in the Deel platform for overseas contractors ensuring prompt sign off invoices and liaising with Finance to ensure on time release of payments to contractors.
  • Maintain the accuracy of Contractor data in the IT related authoritative source.

About you

  • A number of years experience working in a busy recruitment function.
  • Familiarity with contractor compliance and employment legislation.

  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office and HR systems (ATS experience preferred, ideally iCIMS).
  • Attention to detail and ability to manage multiple priorities.

The Process

Our interview process for this role is simple:

  • First stage interview will take place virtually on MS Teams.
  • Second stage interview will take place in person at our London Bridge Hub.
  • We use competency-based questions within our interviews. This allows you to provide examples of situations where you have had to demonstrate the required skills relevant to the role you are applying for. To assist your preparation for interview, research the STAR method to aid bringing your examples to life.

Location

We offer a hybrid working model, allowing employees to work from home up to three days a week. To ensure the health and safety of all our employees, if you wish to work from home for more than 2.5 days per week, we will conduct a quick and easy remote-working assessment.
