Established in 1994, The Fragrance Shop is the UK’s leading independent fragrance retailer. Our aim is to make mainstream and luxury fragrances affordable and accessible to all. We showcase more than 130 fragrance brands in over 220 stores throughout the UK and online at www.thefragranceshop.co.uk. We are expanding and are looking for a Recruitment & HR Assistant to join the team and be part of a growing and vibrant brand.

The Role

Working within this fast-paced role you will be responsible for being the 1st point of contact for all Recruitment and HR queries across our 200+ store estate, Head Office and also at Per-Scent. You will provide administrative support with all Recruitment and HR processes and procedures, and coordinate the flow of data to ensure an effective onboarding and offboarding process.

Responsibilities

  • Understand the Recruitment and HR processes, Company policies & procedures and systems in which you will be working so that you can offer suitable administration support within the business.
  • Provide support to the recruitment, offer and on boarding processes and ensure all Contracts of Employment are issued in a timely manner.
  • Dealing effectively and professionally with 1st line Recruitment and HR queries over the phone, via email or face to face.
  • Support with the next stages of implementation for the Talent & Recruitment system.
  • Work with teams across the business to improve onboarding process to support the retention of team members.
  • Tracking probationary periods and proactively supporting managers on process.
  • Ensuring an effective leavers process.
  • Conduct exit interviews as appropriate and provide analysis of the feedback.
  • Co-ordination of incoming and outgoing references.
  • Administering Recruitment communications through a range of media.
  • Accurately maintaining both paper based and electronic employee files.
  • Support the HR system development e.g. integrating Shopworks and People XD.
  • Any other duties as reasonably required.

Experience/Skills

Experience and skills required for the Recruitment & HR Assistant include:

  • Experience working within a busy Recruitment/HR team where the role is varied and complex would be a considerable advantage. In particular supporting recruitment and on/off boarding processes.
  • Understanding processes and writing procedures.
  • Experience working with a Recruitment/HR system would be advantageous.
  • It is of particular importance that you can manage your workload, be proactive and like achieving results both personally but also for the benefit of the team and the business.
  • You enjoy working as part of team, making decisions which contribute to the businesses success.
  • You possess the ability to be confidential, treat issues with sensitivity and discretion.
  • You enjoy ensuring that your records and data are maintained and correct and have strong IT skills (Word, Excel, PowerPoint, email, internet and social media platforms).
  • Your style will fit well with the company if you are used to being flexible, able to prioritise and manage relationships.
