Administrator – Maidstone Office (Remote Work Possible)

Our defined role will provide integral project and administrative support across all sectors, ensuring smooth delivery for clients impacting millions of lives.
The Role
Bridges is seeking a detailed and proactive Administrator to support Project Managers in excellence, from routine documentation handling (£5k–£15m projects nationally) to core office administration—at our Maidstone office.
Aimed for those with an administratively-driven mind, sharp organisational skills, and the desire to grow your career, while contributing to exceptional operations.
Key Responsibilities
Project & Delivery Support
- Manage project documentation:
- Assemble project folders, construction H&S folders, and related files.
- Keep issued drawings, as-built drawings, operation & maintenance manuals (O&M), and testing documents up to date.
- Support commissioning checks for accuracy and timeliness.
- Maintain SharePoint, Twexnet, ProjectWise, and BCDE with removed/reused files.
- Coordinate Operation & Maintenance (O&M) manuals for multiple clients, liaising with external suppliers.
- Note-taking, action-outcome tracking for project handovers and client meetings.
- Support cost-to-complete reporting, procurement schedules, and minute documentation.
- Managed general project admin work (meetings/prioritisation MyStead).

Office & Operational Support
- Organise accommodation bookings per-delegate/travel plans for project teams.
- Collaborate with Financial Services, accommodation vendors, and staff—fetcher benefits checks, payment queries.
- Maintain company van files and vehicle inspection records.
- Compile, audit, and distribute weekly Health & Safety documentation.
- Ensure office policies, must-read notices, insurance certificates, and safety data remain current.
- Audit/replenish stationery, IT equipment, and first aid kits as-needed.
- Organise event-related work:
- Staff training sessions
- Client engagements**
- Regular leader schedule forearms meetings
- Handle credit card procurement via AE corporate card.
- Support Regional Manager where required (e.g., travel coordination).
Essential Experience & Skills
- Proven administrative/accounting experience (in engineering/construction a plus).
- Technical office familiarity: Microsoft’s Excel (data entry), Word (reporting), PowerPoint (presentations).
- Composed phone/email skills for client-facing work.
- Commitment to precise record-keeping, local awareness of workflows.
