Regional FM Lead

Job Description
You Serve as primary client point of contact for all functions and processes within the regional FM Team.
- Manage engineering resources, HR and task activity.
- Prepare monthly progress report on all planned and reactive works to the Client, and Snr Contract Manager
- Ensure that all service reports are completed, filed and stored and sent to the client in a timely manner, with all remedial works quotes sent to accompany any works generated in PPM Reports.
- Assist Snr Contract Manager in the tendering for FM Contracts, sending enquiries to sub-contractors, managing all responses and saving and filing all proposals in SharePoint
- Invoicing ensuring these are prepared and issued each month to the client and finance updated
- Collaborate with the QS and Finance to ensure accurate timely CVR and cost reporting each Month
- Present the CVR to Snr Contract Manager each month
- Invoice Verification: Validate contractor invoices to ensure work provided aligns with the contract, verifying the accuracy of prices and confirming the availability of P&L in line with K&M SOP
- Support and assist in developing briefs and cost estimates for small works and contract variations.
- Customer/Stakeholder Relationships: Proactively develop and maintain effective relationships through a network of key contacts.
- Plan and organise teams coordinating maintenance work on-site to minimise client disruption and effectively communicate with client departments regarding upcoming and ongoing work, progress, and outcomes.
- Engage with King & Moffatt project team on main projects and utilise M&E systems data, technical submittals and specialist subcontractor information from PC for handover to the FM team ensuring O&M information has been created and issued.
- Manage Health & Safety Files are received and reviewed from Subcontractors and K&M RAMS are filed and stored in SharePoint and sent to the client in timely manner for review.
- Ensure any Mobile Engineers have had relevant training in respect of their duties.
- Ensure all subcontractor remedial works quotations are reviewed with QS and commercial for issuing to client.
- Create and adhere to SOPs for all maintenance work, continually devising ways to streamline processes
- Manage and report on weekly all instances of planned and reactive works that cannot be completed and escalate to the Snr Contracts Manager
- Maintaining K&M Document Management System – Service Sheets, RAMS, Permits from K&M resources and specialists.
- Collaborate to update Standard Operating Procedures (SOPs) work, continually devising ways to streamline processes

Qualifications
- Business qualification or equivalent experience.
- Previous experience of a service industry role – Min 2 years’ experience.
- Ability to use own initiative.
- Excellent project management, problem solving and IT skills.
- SharePoint experience essential.
- Good written and verbal communication skills with strong oral presentation skills and attention to detail.
- Capable of working in a professional environment within a high performing team.
- Organised and open to new ways of working to challenge inefficiencies.
- Thorough understanding of business and customer-facing environments.
- Understands the requirements of operating in a contract environment.
