Role Description
This is a full-time, on-site role as Registrar & Archivist at Edel Assanti, London. The Registrar & Archivist is responsible for managing and maintaining records of artworks, organising and overseeing the documentation of inventory, coordinating acquisitions, consignments and loans, and managing all shipping and logistics across exhibitions, art fairs, and sales — acting as the primary point of contact for shippers, fabricators, and technicians, while maintaining the gallery's artwork database (Artlogic) and image bank to a high standard.
Principal Accountabilities
Artwork Inventory
- Management of gallery inventory, including overseeing the storage, transport and conditioning of the works.
- Management of gallery storage, both onsite at the gallery and at any necessary offsite locations.
- Implement and maintain an effective system of documentation for release/receipt of artworks, consignments, loans and condition checks.
- Oversee the timely return of artworks under consignment or loan agreements and assure import and export guidelines are followed and relevant deadlines met.

Exhibition, Art Fair and Pre-Sale and Post-Sale Logistics
- Manage the production and logistics for all exhibitions and art fairs.
- Responsible for securing all shipping estimates and setting the schedule three months in advance of events / deadlines.
- First port of call for production and logistical matters for shippers and suppliers.
Database and Image Bank
- Maintain up to date records for all artworks including locations and pertinent import/export data (Temporary Admission deadlines, etc).
- Organise and maintain images on the image bank and in the database.
Key Performance Indicators
Artwork Inventory
- Assure artworks are safely and professionally wrapped for storage and transport, overseeing the quality of work by technicians and shippers employed by the gallery.
- Artwork storage is well maintained and fit for purpose.
Exhibition and Art Fair Logistics
- Timely and cost-effective handling of artwork shipping / logistics for all exhibitions, art fairs and other offsite programming (residencies etc).
- Clear communication with suppliers, technicians, artists and institutions, as well as across gallery departments, regarding the implementation of artwork logistics.

Pre-Sale and Post-Sale Logistics
- Efficient management of all pre-sales and post-sales logistics (including viewings) to the satisfaction of Directors and clients and in partnership with the appropriate gallery sales staff.
- Shipping quotes obtained and distributed in a timely fashion to the sales team and clients for post-sales logistics.
- Clear communication with clients and across gallery departments regarding the implementation of artwork logistics.
Database and Image Bank
- Data records for artworks on Artlogic are kept up to date – including artwork location and condition.
- Information is correct, clearly presented and systematised wherever possible.
- Image Bank files are clearly and appropriately labelled and filed for ease of access for all gallery staff.
Salary: Salary subject to experience.
