Regulatory & Artwork Compliance Coordinator
We are seeking a detail-oriented and proactive Regulatory & Artwork Compliance Coordinator to drive data execution and compliance verification across our mass beauty portfolio.
In this role, you will support the Regulatory Compliance Manager by ensuring verified data from our external partners is accurately transferred into internal trackers for Master Data and design creation. You will also take ownership of the artwork compliance review process, checking our full assortment for global compliance and production accuracy.
This position is ideal for someone who thrives in a fast-paced environment, possesses a sharp eye for detail, and enjoys bringing structure and precision to data management and cross-functional workflows.
What You'll Do
Artwork Compliance Verification
- Validate that all Artworks is globally compliant for all of our SKUs, from cosmetic to tools to electricals. Align with the Regulatory Compliance Manager and Packaging & Sustainability Analyst on global market requirements.
- Review and verify that all compliance information is accurately presented on every layer of a SKU, including primary component, secondary cartons, and peel-and-read labels.
- Ensure zero discrepancies between the external agency’s supplied data, internal product specifications, and final artworks e.g., precise INCI layout, warnings, net weights, and compliance symbols.
- Coordinate the counsel and guidance between the external compliance partner, Regulatory Compliance Manager, and design team.

Data Extraction & Tracking Support
- Extract and review data from Cosmetic Product Safety Reports (CPSR) and INCI reviews from our external agencies, such as product warnings, final INCI, fill weight, etc. and make it available on our internal product specification tracker.
- Maintain the product specification tracker so it’s always up to date with real-time access to correct and approved data, feeding into Reports for Design and Master Data to extract information.
- Support the Regulatory Compliance Manager in updating project timelines, tracking schedules, and status dashboards.
- Log and file incoming communications, feedback, and formal approvals from the external regulatory agency to keep project workflows moving seamlessly.
PIF Management & Document Control
- Maintenance of Product Information Files (PIFs) and Technical Files (TF) in our file systems, ensuring they are securely archived in the correct directories.
- Sort, file, and update internal compliance folders as soon as final approvals or documentation are received from the external agency.
- Ensure all data is clean, sorted, and ready for our resellers and audits.
What You'll Have

- Experience: 1-2 years of experience in an administrative, tracking, or coordinator role within cosmetics, consumer goods (FMCG), or a highly regulated industry.
- Project & Data Mindset: Highly organised with a knack for data extraction; comfortable managing spreadsheets, trackers, and organising digital filing systems.
- Visual Attention to Detail: Exceptional proofreading skills - someone who naturally spots a missing comma in an ingredient list or an incorrect symbol or address on a packaging artwork.
- Familiarity (Not Expertise): Basic exposure to or awareness of cosmetic packaging layouts, INCI formats, fill weight presentations, and display of Warnings, etc.
- Tools: Proficient in Microsoft Office and digital document drives (SharePoint, NAS) and Project Management systems such as Smartsheet.
