Remote Services Coordinator – Hybrid Role (Epsom)
Location: Hybrid (Primarily remote, with quarterly Epsom days) Hours: Full-time (37.5 hours per week, Mon–Fri 07:00–20:00 + Sat 08:00–12:00) Salary: £25,545 per annum
About the Role An exciting opportunity has arisen within our fast-paced Physiotherapy team. This hybrid position (5 days remote, 1 day in Epsom quarterly) seeks a Remote Services Coordinator to support the Advanced Level Physiotherapy Team Leaders, Triage Team Leaders, and Physiotherapists. This critical role ensures smooth daily operations by focusing on systems optimisation and addressing operational challenges efficiently.
Key responsibilities include:
- Collaborating with senior coordinators and team leaders.
- Maintaining IT systems stability, proactively resolving issues before they impact operations.
- Supporting daily management of triage and case management diaries.
- Diary management, resource optimisation, and alerting leadership to scheduling and service delivery risks.
- Handling all customer correspondence (calls and emails) to ensure a seamless patient journey.

Responsibilities
Operational Support
- Tech Support: Maintain and troubleshoot IT systems (e.g., Microsoft Office, databases) to minimise disruptions.
- Diary Management: Coordinate triage and case schedules, evaluate resource usage, and pre-empt bottleneck risks.
- Data & Documentation: Maintain accurate records in specialised database applications.
Customer & Communication
- Customer Experience: Lead communications across multiple channels, ensuring Nuffield Health’s positive brand image.
- Complaint Handling: Escalate escalate patient concerns via proper channels.
- Internal Liaison: Foster collaboration across divisions and departments.
Compliance & Development
- Data Security: Strict adherence to data protection principles; handle sensitive patient/organisation information confidentially.
- Health & Safety: Follow policies for safety and quality.
- Professional Growth: Engage in annual appraisals and {-to-1 meetings** to develop skills and career opportunities.
Requirements
Desirable Experience
- Prior experience as an Administrator/Coordinator in UK healthcare.
- Familiarity with patient management systems (e.g., triage or scheduling software).

Must-Have Skills
- Proficient use of IT tools, especially Excel, Outlook, and Word.
- Quick adaptability to new database systems with clear attention to accuracy.
- Strong verbal and written communication with an approachable, professional demeanour.

- High level of focus and time management to ensure deadlines and quality outputs.
